About the role:
We are looking for an experienced Admin Assistant to join our unit in Southampton. As the Admin Assistant you will be responsible for completing all administrative and client support tasks within the unit, supporting clients through their episode of care.
This is a 15 hours per week role working on Monday and Tuesday. A detailed shift pattern can be found below in the further information section.
About You:
You will have strong experience of working within an office environment, having carried out administration duties. You will be an excellent communicator both internally and externally and will demonstrate a friendly and positive attitude when interacting with clients, colleagues, and external parties.
Main duties of the job
Answer and direct telephone queries, liaising with both internal and external colleagues, as necessary.
Accurately check or complete BPAS and legal paperwork, ensuring all relevant documentation is available for the client's episode of care.
Monitor, edit and amend appointment list, using the BPAS booking system, informing clients if changes to their appointment become necessary.
Assist in the monitoring, control and ordering of stock, sort and distribute incoming mail and prepare and dispatch statistical information and reports.
We are also looking for:
* Experience of dealing face to face with clients who may be angry or upset, within a care environment.
* Knowledge of clerical procedures including checking documentation, telephone, and reception duties.
* Good attention to detail, supportive towards colleagues and clients and an effective team player.

Salary: £23,886 – £26,910 per annum pro rata (£12.76 – £14.38 per hour). Depending on skills and experience.
Shift Pattern:
15 hours per week
Monday – 08:30 – 16:30
Tuesday – 08:30 – 16:30
Location:
Southampton will be classed as your base unit with mileage paid to the other 2 as per the BPAS expenses policy.

Person Specification
Experience
* Administration experience gained within an office environment and general office duties.
* Experience with clerical procedures including the checking of documentation.
* Experience of telephone and reception procedures.
* Experience of dealing face to face with patients who may be angry or upset, within a care environment.
* Healthcare administration experience.
Qualifications
* English and Maths qualification either GCSE A to C or Functional Skills Level 2 or GCSE 4* or NVQ level 2.
* Competent in Microsoft Office programmes including Word, Excel, Outlook and Microsoft Teams.
