The Role: As Team Assistant you will be responsible for providing an effective and efficient administration service across the Communications and Public Affairs teams as well as media operations support for Red Roses fixtures. This is an exciting opportunity for someone who is looking to start a career in communications within the sports sector. This role will be a key first point of contact for the Communications and Public Affairs teams, dealing with a wide range of enquiries and visitors, managing their request or directing them to the appropriate individual. This role requires a passionate and proactive individual, who is able to manage multiple priorities and build strong relationships across the business. It would ideally be suited to someone who has a strong knowledge of office administration and event management. The role holder will be an ambassador for the department and the RFU at all times, contributing to its aims and promoting these wherever possible, internally and externally. The Team: This is an exciting time to join the RFU communications team, which is seeking to become more visible, more transparent and engage more widely with its large range of stakeholders. The team is made up of a group of highly talented individuals with responsibility for areas, including supporting the national teams with their media handling and public engagement, promoting the brilliant work done in grassroots rugby, building the RFU's external reputation and promoting the game of rugby and the benefits it brings. Some key responsibilities include: Providing support to the team with the daily administration, always working to maximise productivity, including: Managing the cross-organisational communications grid, keeping it up to date and liaising with departments to ensure its accuracy. Maintaining the communications team log of media enquiries to ensure the team has access to current media responses. Dealing with general enquiries, fan mail, correspondence and invitations. Dealing with purchase order management and processing, expenses and coordination of travel. Supporting the team with the collation of coverage reports and distribution of media summaries, including pulling together the team rota. Support in the set-up of corporate media briefings for senior directors – liaise with relevant internal departments to organise room booking, F&B, AV etc. Ensuring that filing and administrative systems are adhered to, kept up to date at all times and to recommend improvements as appropriate. Maintaining up to date holiday records. Arranging room bookings for meetings, co-ordinating diaries. Assist in greeting visitors and ensuring they are pre-registered on internal visitor system. Manage the team media email inbox responding to enquiries or directing them to the relevant subject matter expert. Support public affairs team with invitations, guest lists and event logistics. Matchday media operations or Public Affairs team activity: Supported by the media operations manager, lead on the media operations for Red Roses fixtures both at Allianz Stadium and elsewhere around the country (two home women’s fixtures during this contract period). As required, support media operations manager with event preparation including match days or corporate media events. The role will require you to support on site on match days to aid team media activities, primarily for Red Roses fixtures. Event support for public affairs team which may include guest list coordination, invitation distribution, liaising with guests etc. As an RFU employee, you will: Actively collaborate with colleagues to contribute to the development and delivery of the current strategic, business and operational plans. Qualifications, Skills & Experience: The skills and attributes outlined in this description are not exhaustive and we welcome candidates who can bring different relevant experiences to the role. Essential: Previous administration experience with admin and/or events experience. Must be expert in the use of Microsoft Office applications (Word, Excel and PowerPoint). Demonstrate the highest professional standards of operation and service. Excellent organisation skills, and able to apply these to office systems and processes. A thorough approach to work, showing attention to detail and work accuracy. Must be able to organise themselves effectively and use time efficiently. Must be “customer service” driven, with an orientation towards serving the needs of others providing a consistent, high-quality service at all times. Ability to communicate effectively with employees from all parts of the company and be able to present a highly professional image when representing the company in person or by phone. Must be able to effectively balance and prioritise the administrative needs of the department.
