Project Administrator
Reports to Project Coordinator
The Project Administrator plays a pivotal role in supporting the smooth functioning of the preconstruction and delivery departments. They provide critical administrative, logistical, and sometimes technical assistance to ensure projects run efficiently on schedule and compliant to regulation.
The key responsibilities include, but are not limited to:
Preconstruction Support:
* Assist Estimators: Manage incoming customer enquiries, logging and tracking through to final proposal.
* Manage design documentation: Maintain document registers, keeping tight control of distribution of official documents
Delivery Support:
* Assist delivery teams: co-ordinate information from preconstruction team and communicate to the delivery teams.
* Submit road notices to Local Authorities, liaising with officers and arranging site meetings.
* Manage project documentation: Organise and maintain project files, ensuring easy access to essential documents like contracts, permits, and drawings.
* Ensure site records (such as record sheets, recording labour, plant and material on site each day and works carried out, progress photos, site diaries, ITPs etc) are filed and distributed to the commercial team.
* Responsibility for the NERS documentation, including job packs, NERS passports and updating stakeholders on whereabouts.
* Compile O&M manuals, Risk Assessments, Toolbox Talks and Method Statements.
* Ensure all new subcontractors and labourers are enrolled and necessary insurances and certificates obtained and sent to Business Support Manager for updating training matrix.
Additional Responsibilities:
* Coordinate communication: Facilitate communication between project managers, subcontractors, and other stakeholders, ensuring timely updates and information flow.
* Schedule meetings and appointments: Manage calendars for the operations team, scheduling meetings, appointments, and travel arrangements. Any bookings to be made via the Business Support Manager.
* Maintain records and databases: Keep accurate records of project information, inventory, and other operational data.
* Answer phone calls and emails: Respond to inquiries from internal and external stakeholders, directing them to the appropriate personnel.
* Prepare presentations and documents: Assist with creating presentations, proposals, and other documents as needed.
* Special projects: Assist with special projects assigned by the operations manager or other team members.
Requirements:
* Previous experience in planning and scheduling construction works.
* Competent IT User (including Microsoft Word, Excel and Outlook)
* Can work under pressure and remain calm with a high attention to detail
* A great attitude, a fantastic work ethic and a desire to learn
* A good working knowledge of operating systems, word processing and data input
* (nice to have) previous experience of working at an ICP
