About the role

This is a high-impact support role providing assistance to Board Directors within a multi-site organisation. The role ensures the smooth and efficient running of the business through expert diary and meeting management, coordination of board and cross-office activity, preparation of leadership documentation, and organisation of key administrative and operational processes. Acting as a central point of coordination, the successful candidate will support organisational priorities while maintaining high standards of communication and professionalism across the business.

The role is ideal for somebody who thrives in a friendly, fast paced environment. Previous experience that demonstrates task management and strong communication skills is desirable.

You enjoy building strong relationships across the business and take pride in being a dependable, solutions-focused presence that enables senior leaders and the wider business to operate effectively.


Key responsibilities include, but not limited to

* Provide executive support to Board Directors across a multi-site Company.
* Assist Board Directors with tasks relevant to the smooth running of the business as required.
* Organise board meetings, multi-office meetings and coordinate cross-site communications.
* Manage diaries, scheduling, and travel for Board Directors ensuring seamless coordination.
* Prepare board papers, reports, presentations, and briefing documents for leadership meetings.
* Monitor actions arising from board and leadership meetings, ensuring follow-up and delivery.
* Manage correspondence, contracts, and documentation for Board Directors and the senior leadership team.
* Coordinate administrative actions for Company vehicles.
* Manage third party supplier relationships and scheduled insurance, utilities, local authority rates and any relevant business subscriptions with the support of the finance team.
* Assist with new office setups, including ordering products and coordinating actions between the Board Directors, IT and HR teams, and other staff or third parties as needed.
* Organise Company social events under the guidance of Board Directors.
* Maintain central records, leadership documentation, and firm-wide information systems.
* Act as key liaison between Board Directors, legal teams, support staff, and external third parties and stakeholders.
* Liaising with external marketing companies to arrange merchandise products.
* Provide administrative support to the HR function in relation to recruitment activities, including coordination of interview scheduling and diary management.
* Handle confidential and sensitive information with discretion and professionalism.
* Proactively manage priorities, anticipate needs, and problem-solve across a fast-paced environment.


Required

* A proven ability to meet deadlines and work accurately, ideally with experience supporting senior leaders in a business.
* Exceptional organisational and task management skills.
* Able to demonstrate common sense and logical, practical thinking.
* Confident IT skills and system literacy.
* Friendly and helpful nature.
* Full UK Driving License and use of a car.

The starting salary for this role will be between £28,000.00 and £30,000.00 though this will depend on experience.

The role will be based out of Cheltenham but will require travel between our Gloucestershire offices.
