Site Secretary
Job Overview
This post is a fixed‑term secondment for 12 months to meet the needs of the service. The post holder will support the General Manager, Matrons, Ward Managers, Lead Manager and Senior Midwives in managing and administering the department and providing a secretarial service within the department as required. The role involves fully coordinating corporate and central meetings, including room bookings, compiling agendas and transcribing formal minutes. The successful candidate will be resilient, have high attention to detail and a positive approach. Excellent communication skills and a proven ability to develop and produce high‑quality documentation, including minute taking while working to deadlines, are required. Welsh language skills are desirable but not essential.
Responsibilities
* Co‑coordinate the Women’s Directorate and North Wales meetings, including room bookings, agenda compilation and minute transcription.
* Provide an effective secretarial service and support to senior managers within the Central area of the Women’s Directorate.
* Assist with scheduling and arranging meetings, inviting attendees, arranging suitable venues and refreshments if required.
* Manage the Lead Manager and Matron’s electronic diary, including making appointments, booking meetings, sending apologies and revisions as per prioritisation.
* Ensure that the Lead Manager and Matrons are fully prepared with required documentation prior to meetings.
Person Specification
Qualifications and Knowledge
* Essential criteria – Typewriting/Word processing qualification RSA III or equivalent; GCSE A‑C in English & Maths or equivalent experience.
* Desirable criteria – NVQ Business Administration Level 2 or equivalent; knowledge of Microsoft Word/Excel/Outlook.
Experience
* Essential criteria – Comprehensive clerical/secretarial experience; experience of coordinating administration activities.
* Desirable criteria – Previous NHS experience; experience of setting up and using filing/IT systems; ability to handle a high level of communication and interaction with other departments and agencies.
Aptitude and Abilities
* Essential criteria – Able to communicate effectively; strong organizational skills; able to work unsupervised.
* Desirable criteria – Ability to prioritise conflicting demands; ability to deal with change.
