The Procurement Coordinator will play a pivotal role in supporting the Head of Procurement in delivering strategic and operational procurement excellence across all event-related categories. This role focuses on reviewing supplier contracts and terms, submissions for health & safety, insurance, and sustainability compliance, and supporting the onboarding and ongoing evaluation process for new and existing suppliers.
Key Responsibilities
* Serve as the first line of review for all supplier contracts and terms, escalating to the Head of Procurement where necessary.
* Support the Head of Procurement with complex supplier contractual negotiations.
* Support the onboarding of new suppliers, ensuring all required documentation is received in a timely manner and reviewed in line with Identity’s internal compliance requirements e.g. ISO, HSSE, GDPR, Identity’s and Identity’s clients’ best interests, Identity’s sustainability standards.
* Systems expert for software used in the processes.
* Work in compliance with the Procurement Policy and ensure any direct report(s) and stakeholders are aware of and comply with Policy.
* Assist in periodic supplier audits and performance reviews.
Stakeholder Engagement
* Act as a subject matter expert for internal teams, advising on procurement options and ensuring alignment with Identity’s compliance, sustainability, and risk mitigation standards.
* Liaise with project teams to ensure supplier contracts meet business and event expectations.
* Assist in recording and monitoring supplier contractual terms during contract lifecycle stages.
* Monitor supplier performance throughout live projects and support post-project reviews to ensure continuous improvement.
Compliance & Risk Mitigation
* Ensure all procurement activities adhere to internal policies, legal requirements, and ethical standards to achieve compliance.
* Identify and elevate risks related to supplier reliability, financial status, contract terms, and delivery timelines to achieve event readiness.
Process Improvement
* Contribute to the development and refinement of procurement systems and workflows.
* Support initiatives that drive efficiency and enhance procurement visibility across the business.
* Deputise for the Head of Procurement in departmental and supplier meetings when required.
* Collaborate with cross-functional teams including finance, project management, and sustainability to ensure cohesive procurement operations.

Skills and Experience
* Proven experience in procurement, supply chain or subcontractor management ideally within the events or creative industries.
* Excellent written and verbal communication skills and negotiation abilities.
* Proficiency in Microsoft Office and supplier management systems or databases.
* Familiarity with health & safety and insurance documentation relevant to event suppliers.
* Ability to work in dynamic, team-oriented, fast-paced environment on multiple projects at any one time.
* Knowledge of procurement regulations and best practices.
* Self-motivated with a strong desire to succeed.
* Experience working with event production suppliers (e.g., AV, staging, staffing, venues).
* Experience understanding and negotiating contractual terms.
* Previous experience of Procurement systems.
* Previous experience within the Event industry.
