Facilities Administrator (Admin) Pay: Up to £28,000.00 per year Shift: Monday Friday Hours: 9 AM TO 5 PM with 40 mins for lunch Temporary to Permanent Job description: Logic Contract Services are currently seeking a Facilities Administrator to join their team on a full-time, permanent basis. The successful candidate will work Monday to Friday and must be familiar with CRM systems. Familiar with CRM systems means the person has experience using Customer Relationship Management (CRM) software. A CRM system is a digital platform used by companies to manage customer information, jobs, communication, and service requests. Being familiar with CRM systems usually means the candidate can: Log and update customer information Raise and track jobs or service tickets Experience in schedule appointments or maintenance tasks Update notes and communicate through the system Run basic reports Manage emails or workflow within the platform Examples of CRM systems include Salesforce, HubSpot, Zoho CRM, and Microsoft Dynamics 365. Do you have excellent planning and organisation skills and remains calm under pressure? Are able to think on their feet and provide practical solutions? Do you have strong Microsoft Office skills, in particular Excel and good experience of Word and Outlook? This role reports to the Helpdesk Manager and is responsible for answering questions and queries, ensuring that clients/partners have access to a comprehensive and high quality facilities service, which provides outstanding customer service all stakeholders. The role will also cover general day to day admin for the business. Responsibilities: Maintaining and monitoring emails, assigning tasks to appropriate member of the team, updating action trackers, status logs and ensuring response within agreed SLAs. General Administration for the whole business Managing filing of documents. Raising purchase orders and administer the purchasing system. Logging & closing small works jobs. Scheduling Engineers Planners to be efficient for their workday. Liaising with clients, tenants, subcontractors and suppliers - Call Handling Prepare meeting agendas and minutes. Follow-up on assigned action items. Perform all duties with the utmost discretion and attention to detail, while maintaining the appropriate degree of confidentiality at all times Preferred experience: A proven track record of working within a busy admin environment, preferably within facilities management. Good attention to detail and excellent communication skills. Experience providing a high level of professional administration support. Good IT skills Able to work in a team and produce quality output under tight deadlines
