Old Bridge Surgery serves a population of 9,850 patients in and around Looe from its riverside surgery in Looe and its two branches in Pelynt and Polperro.
We are looking to recruit a part time medical secretary on a six month contract to be responsible for undertaking a wide range of medical secretarial and administrative
duties and the provision of administrative support to the multidisciplinary team.
Duties can include, but are not limited to, the processing of information (electronic
and hard copy) in a timely manner, liaising with multidisciplinary team members
and external agencies such as secondary care and community service providers in
accordance with current policies, including the use of the electronic referral service
(E-Rs)

Detailed job description:
The following are the core responsibilities of the Medical Secretary. There may be,
on occasion, a requirement to carry out other tasks; this will be dependent upon
factors such as workload and staffing levels:
a. To provide an efficient copy typing and word processing service for GPs
and health professionals, including Advanced Nurse Practitioners,
Nurses, Health Care Assistants, Student Doctors, Physician
Associates, Locum Staff and the LIVI Doctors as required. This includes
typing letters, reports and associated documentation as required.
b. To ensure that referral letters and referral forms are distributed
efficiently using the E-Referral system, online referrals systems, referral
forms and referral proformas and templates as appropriate and
attaching enclosures as necessary, ensuring that the criterias are met
prior to processing the referrals.
c. To ensure that 2ww referrals are dealt with efficiently and promptly and
contain all relevant criteria information. To follow up all 2ww referrals
ensuring patients were seen within the 2-week period.
d. To keep up to date with changes in referral systems, new referral
proformas and referral criteria.
e. Checking the E-Referral system 'worklists' on a daily basis to check for
rejected referrals and responses to referrals sent for advice and
guidance.
f. To receive incoming mail to the secretaries email inbox and scanning the documents on to the Docman system for the operation team to process.
g. Franking the outgoing post every day and taking to the post office.
h. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.
i. Managing all enquiries in an effective manner.
j. Maintaining an accurate referrals database.
k. To monitor the practice generic email accounts for 'flagged' emails that the admin team have flagged up that need the secretaries to deal with, in accordance with current practice policies.
l. To notify Public Health England if a patient has a notifiable disease as per the GP's request.
m. Inputting data into the patient's healthcare records as necessary.
n. Processing the Summary of Death Certificates and the MCCDs (Medical Certificate of Cause of Death) forms following the death of a patient and emailing them to the Medical Examiner Service. o. Downloading the 24-hour ECGs and 24-hour BP monitors.
p. Answering incoming phone calls, transferring calls and/or dealing with the callers request appropriately.
q. Managing all administrative queries as necessary.
r. Maintaining a clean, tidy, effective working area at all times.
s. Supporting all clinical staff with general administrative tasks as requested.
t. Ensuring that the surgery's' stationery supplies are adequate.
