Job Overview
The Medical Secretary provides high‑quality administrative and clerical support to Consultant Clinical Neurophysiologists and Physiologists. Duties include typising clinical letters and reports, booking outpatient clinics, handling telephone enquiries, managing sensitive patient information, and general office duties.
Main Responsibilities
* Process clinic letters, test result letters, general correspondence, and other departmental tasks.
* Receive, sort and prioritise daily correspondence, and monitor waiting lists proactively.
* Contribute to reviews of administrative and clerical functions, proposing recommendations to enhance service provision.
* Photocopy, file and perform other administrative duties to ensure efficient office running.
* Prioritise conflicting departmental requirements, working independently or with consultants and other secretarial support to meet deadlines (e.g., 5‑day turnaround for clinics).
* Organise meetings and book rooms as necessary for clinicians and their teams.
* Act as a contact point, liaising with patients, medical, nursing staff and external agencies, taking action in accordance with Data Protection principles.
* Provide secretarial cover and undertake general office duties within the department.
* Deal effectively with incoming mail for clinicians.
* Perform other reasonable duties appropriate to Band 3.
Person Specification – Skills and Knowledge
* Essential: Excellent organisational skills, attention to detail, friendly and caring attitude, able to use Microsoft Office, well‑developed communication and interpersonal skills, ability to work well within a team.
* Desirable: Knowledge of medical terminology, working knowledge of Care Flow or similar.
Experience
* Essential: Previous secretarial experience.
* Desirable: Medical secretarial experience.
