Job Title: School Receptionist & Admissions Manager
Reporting to: Head of School and Executive Head
Grade: 6 point 9 (£27254 pro-rata)
Start date: As soon as possible
Working Hours: Ideally 37 hours a week (we may be able to be flexible), Term Time Only including INSET days.
Admissions
•To manage procedures for admission to the school, in line with the relevant admissions criteria, maintaining up to date pupil lists, class lists, mailing lists, medical needs etc. on SIMs.
•To meet with governors to agree and to provide ranked applications in line with admissions criteria to the local authority for September Reception places.
•To ensure school Management systems (currently SIMs) is kept up to date with all pupil data, attendance data, exclusion data and free school meal information to facilitate accurate census reporting. To manage the process of children leaving the school and liaising with the new schools.
Reception
•Act as first point of contact for parents/carers and all visitor to the school
•Dealing with visitors, providing hospitality where necessary and referring on to appropriate members of staff when needed. Providing a sympathetic and patient ear to parents contacting the school, providing general information as requested.
•To deal with enquiries, answering telephone and relaying messages to staff and pupils, to screen headteacher from routine enquiries and to arrange appointments and add to the calendar.
•To manage the office email account, parent communication systems and school website.
General administration
•Manage and update as required school policies
•Keep records in accordance with the school’s retention schedule and GDPR laws, ensuring information security and confidentiality at all times.
•To establish and maintain efficient filing, indexing and internal correspondence systems.
•To produce school documentation, including drafting correspondence as requested.
•To deal with all confidential matters with tact and discretion.
•To run the census and provide relevant departments with detailed reports so that data can be verified before authorisation.
•To set up the new academic year in SIMs.
• To keep the website up to date.
•Organise and manage trips and after school clubs
•To manage the online payment system and ensure all payments received.
•To complete and dispatch all required forms including county returns etc.
•To arrange informal visits, and send application forms and job descriptions for prospective applicants for new positions and associated correspondence for interviews and successful staff appointments.
•Manage breakfast club places and enquires
First Aid
•Provide first aid
•Administer medicines in line with the school’s policy.
•To maintain a report of all accidents and produce a monthly analysis of accident data.
•To update BOSCO accident reporting system
•To liaise with School Health regarding childhood medical checks, organising pupils’ attendance within school.
To carry out the above duties in accordance with the Education Department’s Equal Opportunities Policy.

This job description will be reviewed annually as part of the performance management process, or more frequently if necessary. It may be amended at any time after consultation with the Head teacher and post holder.
