Responsibilities

* Facilitate the delivery of all FM related services at key sites in Derby, whilst ensuring customer requirements are met and their needs are anticipated at all times, to be proactive in delivery.
* Engage with all MITIE partners to ensure a collaborative and efficient approach and a swift response to all service requests. This requires continual communication with the FM Helpdesk and service managers/supervisors, in addition to keeping the customer up to date at all times.
* Fully update Network Rail colleagues, face to face, on progress of tasks reported by them and seek their comments and feedback as appropriate; proactive visual maintenance of communal floor areas, including hubs, staircases, coffee points and copy areas; engage with the relevant members of the FM team and ensure milk distribution and orders are amended as sites require.
* Take full ownership of all aspects of meeting rooms including housekeeping, AV equipment and fabric and environment.
* Weekly stationery orders for sites.
* Assist with updating CAFM on the progress of logged jobs.
* Report issues through the Helpdesk as they occur, ensuring service requests are monitored and completed satisfactorily within your area and within the agreed SLAs.
* Work with the Customer in a consultative manner offering support and guidance on practical Quality, Health, Safety and Environmental areas.
* Hands-on approach to mailroom activity ensuring processes and procedures are followed correctly; mail is delivered to recipients and signed for to provide traceability.
* Assist with responsibility for all compliance documentation, ensuring documentation is regularly updated and maintained. Knowledge of PPMS and Reactive tasks to assist the Senior Workplace Coordinator.
* Understand all building log books, service lines and keep all H&S notice boards up to date.
* Assist the Workplace Manager as required where there is no Senior Workplace Coordinator in place.
* Adhere to Quality, Safety, Health and Environmental policies and MITIE policies and procedures.
* Be flexible in approach to work patterns and systems to maintain required standards.
* Adhere to reasonable management requests from line managers or client contact.
* Be prepared to cover for the Senior Workplace Coordinator and cover Reception where needed.


Requirements / Person Specification

* Must have previous experience in multi-occupancy and large-scale account management, customer service and IFM service delivery, helpdesk processes, workflows with knowledge of HR and QHS&E procedures and legislation.
* Clear, confident communication skills with the ability to communicate effectively with a wide range of people both in writing and verbally.
* Team player with an enthusiastic attitude; proactive, self-motivated and creative.
* Analytical thinker with demonstrable problem-solving skills.
* Good relationship and stakeholder management; ability to manage and prioritise workload effectively.
* Customer service oriented; good time-keeping.
* Observe the dress code at all times – full uniform, clean and tidy appearance; conservative jewellery; due to Health and Safety issues no facial piercings with the exception of religious beliefs.
* Hold a valid driving licence; computer literate.
