Key requirements
Essential
* Full, clean driving licence
* Proficient in the use of IT systems, including MS Word, Excel, Outlook
* Experience in a customer service or sales role
* Confident in administrative tasks
Desirable
* ARLA or equivalent
* Familiar with the Edinburgh lettings market
* Experienced in the use of Reapit property software

About the role
Rettie has established a strong presence in the lettings sector in both Edinburgh and Glasgow, dealing with the letting and management of homes for private landlords. Due to continued growth and our strategy to expand our services, we are seeking a New Business Coordinator.
The successful candidate will work closely with the new business team to convert prospective client leads into managed clients with active portfolios.
You will be responsible for onboarding landlords, ensuring properties meet safety requirements, and managing associated paperwork and certificates on our Reapit database.
You will handle administrative tasks such as diary management, responding to inquiries promptly, and ensuring excellent customer service.
After onboarding, you will collaborate with Portfolio Managers to hand over properties, providing detailed client and property information.

Managing Administration
* Serve as the first point of contact for inbound calls and inquiries
* Liaise with new landlords during onboarding
* Manage valuation appointments effectively
* Handle keys and access authorizations diligently
* Ensure safety and compliance certificates are instructed and recorded
* Process invoices for safety and compliance certifications efficiently
* Administer utility notifications and void period costs, collaborating with the accounts team for prompt payments
