To work as part of the Private Patient and Overseas Visitors team providing administrative support of a high standard. Demonstrates due diligence whilst maintaining and promoting effective working practices commensurate with the post. Maintains confidentiality relating to the welfare and treatment of patients and staff at all times
* To work as a member of the Admin Team and supervise the Administration Team
* To provide administrative support to the Management Team in the Private Patients and Overseas Visitors Service
* The post holder will be expected on a day to day basis to supervise members of the admin team, supervise their work, and to prioritise and coordinate their work in order to meet the needs of the department.
* The post holder will also be expected to ensure that tasks are completed accurately and in a timely manner.
Main duties of the job
Administration and Clerical:
* Record keeping and ensuring all documentation, both written and electronic, is accurately completed using a variety of software.
* To be an integral team member for ensuring patients receive high standards of care.
* Receive and deal with telephone enquiries on behalf Private Patients and Overseas Visitors Service
* Ability to input complex information, including clinical information, and data into a computer throughout the working day accurately and effectively with interruptions from telephone calls and staff management responsibilities
* Ability to multi-task in a demanding and pressurised working environment
* Is responsible for a group of dedicated outpatient clinics ensuring that at all times a high quality service is provided to patients, consultants and their staff.
* Ensures that all clinic slots are filled appropriately maximising clinic usage.
* Oversee the booking of inpatient procedures, ensuring that staffing is secured and all relevant departments informed.
* Identify and register all new private patients on the relevant system, subsequently checking discharge dates, correct status and follow up appointments.
* Effectively inform patients of impending admission or outpatient attendance advising re undertaking to pay forms and medical insurance

Detailed job description and main responsibilities
Supervision:
* To supervise the Administrator
* Participate in the appraisal of team members, in accordance with the Trust’s Appraisal Policy.
* To supervise the allocation of workload to the Administrator.
* Provide a comprehensive induction to all new permanent, bank and agency staff to their work area.
* Provide support to the Private Patients and Overseas Visitors Business Support Officer in the management of HR issues for the administration team.
* Act as a support for other staff within the department to ensure smooth running of Admin Team.
* To train and supervise the Administrator.
* Support the implementation of policies and procedures within the service.
* To undertake any delegated duties as appropriate to grading of post.
* Assist in the development and delivery of training for new staff members as agreed.
Patient/Client/Customer Focus:
* To use own initiative and respond appropriately to issues arising within the service.
* To be aware of own limitations and when to seek assistance.
* Treat patients with empathy and reassurance.
* Ensure that patients are kept informed at all times.
* To act as a resource and support for other staff members.
* Provide non-clinical information and guidance to patients, carers and other members of the team.
Person specification
Education/Training and Qualifications
Essential criteria
* 3 GCSEs or equivalent including English at Grade C or above
* NVQ Level 4 in Administration or relevant knowledge and experience
* RSA II Typewriting, word processing or equivalent
* Evidence of continuing development
Desirable criteria
* RSA II audio or equivalent
* ECDL
* Medical terminology qualification
Experience/ Knowledge
Essential criteria
* Previous experience in Administration and Management
* Previous experience of using clinical IT systems (PCS/ WebV/ CRIS etc)
* Excellent verbal and written communication skills
* Ability to prioritise and manage own workload for best effect and work without supervision
Desirable criteria
* Previous experience and knowledge of NHS administration processes
* Previous supervisory experience
* Evidence of liaising with more than one discipline
