We are looking for a highly organised and personable Customer Experience Coordinator to be the welcoming face of our flagship Walsgrave office. This pivotal role combines front-of-house duties with office and administrative coordination, ensuring every colleague and visitor enjoys a seamless, professional experience. As the first point of contact for internal and external stakeholders, you\'ll create a positive and efficient environment, managing office operations with care and attention to detail. From greeting visitors to overseeing day-to-day administration, you\'ll play a key role in keeping our office running smoothly, helping colleagues work productively in a well-managed environment. Responsibilities
* Deliver a warm, professional welcome to all visitors, clients, and colleagues.
* Oversee reception services, ensuring a polished and efficient front-of-house function.
* Manage the visitor journey end-to-end, including sign-in, hospitality, and guiding them to meeting rooms.
* Act as an ambassador for the business, ensuring a positive first impression at all times.
* Support wider Infrastructure events.
* Diary & Meeting Management
o Coordinate diaries for one of the Directors, ensuring effective scheduling and prioritisation.
o Support Personal Assistants with diary and meeting management as required.
o Manage meeting room bookings, resolving conflicts and ensuring optimal utilisation of space.
o Oversee the coordination of internal and external meetings, including room setup, technology, and catering requirements.
* Reception & Office Coordination
o Act as the main point of contact for facilities reception-related matters in the flagship office.
o Order office stationery and arrange couriers.
o Identify opportunities to improve office processes, systems, and visitor experience, embedding best practices.
Qualifications
* Experience in an office administration, facilities, or reception/front-of-house role.
* Strong organisational skills with proven experience in diary management and meeting coordination.
* Confident user of Microsoft Office and digital scheduling/room booking tools.
* Educated to GCSE level.
