Job Summary
ENT Medical Support Secretary – University Hospitals Bristol and Weston NHS Foundation Trust. The role is part of a team that provides an efficient, patient‑focused secretarial service for ENT clinicians. Key tasks include formatting clinic letters, managing the Medical Secretary inbox, responding to e‑mail queries and taking phone calls. The post holder is the main point of contact for queries from patients, relatives, carers and other professionals, and plays a key role in service improvement and patient‑focussed care.
Responsibilities
* Format clinic letters and other clinical documentation.
* Manage the Medical Secretary inbox and respond to e‑mail queries promptly.
* Receive and take phone calls from staff, patients and relatives.
* Act as a point of contact for clinical and non‑clinical staff via telephone and email.
* Provide a courteous and empathetic point of contact for patients, relatives and carers.
* Return calls promptly and keep callers updated with information in an effective and efficient way.
* Escalate patient queries, capacity problems and general issues to the line manager or relevant clinical staff.
Qualifications & Skills
* Educated to GCSE, grade C or above (or equivalent) in English Language and Maths.
* Business and Administration Level 3 NVQ or equivalent experience.
* Qualified in word processing or audio typing (or equivalent).
* Effective and polite manner when dealing with people face‑to‑face and on the phone.
* Ability to work under pressure and meet deadlines while maintaining a high standard of accuracy.
* Ability to work effectively in a busy team, adjust to change and motivate others.
* Ability to work on your own using your own initiative when required.
* Confidence to handle difficult conversations with patients, relatives and carers.
* Effective organisational skills and strong attention to detail.
* Good IT skills, including Microsoft Office packages.
* Ability to adapt to new computer packages and programmes.
* Supportive, respectful, innovative and collaborative attitude.
* Experience of dealing with the public, both on the telephone and in person.
