We are looking for an enthusiastic, hard-working Admin to work within the Hounslow Community Health - Children's Services Team based at Heart of Hounslow. As an Administrator, you will provide high-quality administrative support to the department. Tasks will include typing, reception duties, customer service, maintaining databases, booking appointments/meetings, filing, organizing and booking meeting rooms, ordering supplies, unpacking and packing medical equipment, and general administrative support to the Department.
Responsibilities include creating referrals, validating data, booking/rescheduling/canceling appointments, distributing clinic letters and reports, ending care/discharging patients, booking meeting rooms and hospitality, ordering supplies such as stationery, and other ad hoc duties.
Additional duties include:
1. Typing and formatting letters, reports, policies, minutes, presentations, statistics, and general correspondence using Microsoft Office and other software including System One.
2. Supporting meetings by preparing and distributing agendas, taking, transcribing, and distributing minutes/action notes, and following up on action points.
3. Supporting projects managed within the service as directed.
4. Providing administrative support within the service, including cross-cover for team members and deputizing for the Team Lead temporarily.
5. Training, advising, and supporting new or less experienced employees on administrative duties.
6. Maintaining departmental databases accurately and assisting with data collation.
7. Providing excellent customer care, ensuring timely and relevant advice and assistance to all service users.
