The Office Assistant is responsible for providing effective support in the office, delivering essential support to staff members, and managing the diaries of several Partners. The Office Assistant is expected to deliver exceptional client service in all aspects of their role.
This is predominantly an office-based role.
Job role
* Continually assess the effectiveness of processes and procedures reporting back to the Office Manager.
* Seek ways to make full use of technology to improve processes and efficiency, promote agile ways of working, and reduce reliance on paper.
* Proactively develop effective working relationships with Partners and Managers to understand their needs and offer advice and solutions.
* Deliver exceptional service in the office, with a focus on front-of-house operations.
* Support day-to-day facilities operations, ensuring the office remains welcoming, clean, and secure.
* Support the implementation of Forvis Mazars' Health and Safety policies, including first aid, incident reporting, fire drills, office inspections, inductions for new team members, and visitor management.
* Conduct Right to Work checks for new joiners and facilitate onboarding, including first day plans and office tours with health and safety considerations.
* Provide basic IT troubleshooting support, escalating issues to relevant stakeholders, including the IT team and Office Manager.
* Support switchboard operations.
* Assist in organizing local office events in collaboration with the events team.
* Manage postal services and couriers.
* Provide diary management support to Partners, including scheduling meetings and liaising with stakeholders.
* Understand technical requirements for virtual meetings (e.g., MS Teams).
* Assist in resolving scheduling conflicts and proactively reviewing diaries.

* Experience in a similar role.
* Experience supporting health and safety compliance in the workplace.
* Strong attention to detail, organizational, and multi-tasking skills.
* Problem-solving abilities to address issues promptly.
* Excellent communication, presentation, and interpersonal skills.
* Team player with a collaborative approach.
* Passion for providing excellent client service.
* Flexible and able to work effectively under pressure and manage conflicting priorities.
* Advanced MS Office skills (Word, Excel, PowerPoint).
