Executive Assistant – Part-Time Force Multiplier

Hours: 25 hours per week (12.5 hrs per Director)
Compensation: £353.70 per week (~£1,534 per month, based on 4.33 weeks/month)
Reports to: Company Directors
Role Purpose
To act as the directors' strategic partner by protecting their time, energy, and focus. This role goes beyond admin: the EA will own the calendar, inbox, and workflows across both business (Airmech) and personal life, ensuring priorities are met, distractions are filtered out, and operations run smoothly.
The core outcome: give each Director back at least 10+ hours of high-value time every week to focus on leadership and growth.
Key ResponsibilitiesTime & Priority Management
* Own and manage the Directors' calendars, meetings, and appointments.
* Anticipate needs and prepare Directors for every meeting, call, and trip.
* Ensure time is spent only on the highest-value tasks (delegate, defer, or delete everything else).
* Build in time buffers, travel logistics, and recovery space so schedules run seamlessly.
Inbox & Communication Control
* Act as the first filter for emails, calls, and messages.
* Draft, prioritise, and send correspondence on behalf of the Directors.
* Maintain clear communication channels between Directors, team, and external stakeholders.
Business Support (Airmech)
* Prepare agendas, minutes, and follow-up actions for meetings.
* Support finance tasks (receipts, expenses, supplier payments).
* Coordinate with staff, suppliers, and clients, resolving issues without escalation where possible.
* Keep reporting, documents, and records up to date.
Personal Life Support
* Manage household and personal diaries, appointments, and logistics.
* Coordinate personal travel, bookings, and social commitments.
* Handle household admin (bills, subscriptions, services).
* Run errands and personal purchases as required.
Skills & Attributes
* Track record as a high-performing EA/PA supporting senior leaders or entrepreneurs.
* Expert diary and inbox management, able to handle competing priorities with ease.
* Tech-savvy: Microsoft 365, G Suite, CRM/project management tools.
* Exceptional organisation, discretion, and reliability.
* Anticipates needs before being asked, with strong problem-solving instincts.
* Practical, proactive, and outcomes-driven.
* Thrives in a fast-paced, multi-faceted role balancing both business and personal life.
