Your Day-to-Day
You'll be working 40 hours a week leading a high performing administrative team in a Central London Hospital.
Managerial responsibility for the administrative department.
Be responsible for aspects of the administration budget.
Support the General Manager with coordinating training courses, manage training compliance for all departments at site.
Responsible for liaising with new starters and ensuring everything is prepared ahead of their start date.
Support General Manager with effective Induction of new staff in accordance with the Cygnet Procedures.
Attend Daily Sit Rep Meeting, take minutes as necessary and follow up on any actions.
Prepare agenda for Heads of Department meeting, attend and take minutes. Collate the On Call Manager rota.
Deputise for the General Manager as required.
Step in to cover administration roles as necessary.
Monitor staff performance in accordance with the Cygnet Procedures for Annual Performance Review.
Develop/implement/review local protocols in keeping with Cygnet Administrative standards.
Ensure there is adequate cover for periods of leave of the members of the administration department.
Assist in business development / marketing activities.
Investigate performance and conduct issues according to company policy.
Be the first contact person in relation to ICT/Printers/Phones matters at the site.
Complete the yearly Information Governance audit. Responsible for overseeing stationery supplies.
Support the General Manager to meet the non clinical Key Performance Indicators
Support with maintaining and uploading of the Hospital Quality and Compliance trackers
Oversee Budget for administrative department ensuring department consumables remains within agreed an budget The post-holder will report to the General Manager, however some accountability's will lie with the Hospital Manager and Clinical Service Manager.
Skills, Knowledge and Experience
Experienced in the healthcare sector with a knowledge of mental health preferable
Flexible & organised with a strong understanding of office working procedures
Able to prioritise workloads, solve problems & make decisions
An approachable leader & strong communicator with excellent interpersonal skills
Highly proficient in the use of Microsoft Office software.
Line Management and Supervisory experience.
Excellent interpersonal skills and stakeholder engagement.
Experience of utilising common IT software systems, Word Processing, Spreadsheets and Databases.
Experience of administrative systems.
Ability to work on own initiative and to deadlines.
An ability to minute complex meetings.
