Receptionist with Maintenance Administration Duties We are seeking a dynamic and professional Receptionist to be the first point of contact for all visitors to RLC, including contractors. The successful candidate will efficiently manage all aspects of the reception area and provide essential administrative support to the Maintenance Team. Main Duties Meet and greet visitors and facilitate Contractors arrival onsite Answer a high volume of calls and maintain a rapid response rate, screening calls on behalf of staff Sorting of incoming mail into departments; preparation of outgoing mail for postage weighing post, franking correct postage amount and recording destination and cost of post Managing the administration of pool cars and booking taxis Operating a variety of standard office machines, including a computer, a variety of computer software, phone, badge printer etc. Opening and locking the front doors Maintain the reception area (including Kitchen) Establish and maintain effective working relationships with all stakeholders Arrange and book internal and external meetings Produce documents, papers, reports, and presentations as required File data and perform other routine clerical tasks as assigned by other departments as and when needed Provide administrative support to the Leadership Team Any other reasonable request Maintenance Administration Duties: Ordering parts for the Maintenance Team Scheduling of preventative maintenance work Maintain a list of critical spares to ensure availability when needed. Coordinate remedial works for insurance companies to ensure compliance and safety Contractor control : Risk Assessments, Insurance, Induction, ITAR and Site access control Knowledge, Skills and Experience Experience in busy reception environment Experience in general administrative duties Good written and verbal communication Strong understanding of the full Microsoft Office Suite Professional, trustworthy and discreet handling of confidential material Friendly and approachable A team player with a proactive hands-on approach to work Ability to work accurately, with good attention to detail Extremely organised Ability to multi-task Other information: Reporting to: Maintenance and Facilities Manager Hours: Monday to Friday 0800-1630, Friday 0800-1300 Benefits 25 days holidays and 8 statutory holidays accrued during first years service which can be taken in hours Defined contributions pension scheme, up to 8% employee and 12% employer contribution Life Assurance Policy, paid at 4 times basic salary from day 1 Via our benefits platform you will have access to discounts with many UK retailers, helping you save on your everyday purchases.
