Immunisation Admin Team Leader - Rotherham
Job summary: Are you a committed individual who enjoys delivering great service through getting the best out of people? You could be the right person to lead the Immunisation Administration Team. The Immunisation Administration Team Leader will lead and coordinate the Primary School Immunisation Programme and all personnel in the locality to ensure administrative responsibilities are met, monitoring quality and throughput of work to meet priorities, deadlines and standards. You will be the key liaison person, coordinating staff rotas and school vaccination sessions, handling telephone calls from schools/parents/carers, communicating with stakeholders and supporting the nurse-led immunisation sessions in primary schools.
Candidates must have experience of leading teams and coordinating individuals workloads against project deadlines. We require enthusiastic and committed individuals who will be expected to work as part of the team with excellent communication and interpersonal skills.
Key duties and responsibilities
* Lead and manage the Immunisation Programme and all locality staff, ensuring administrative responsibilities are met and that quality and throughput meet priorities, deadlines and standards.
* Supervise all clerical and administration duties applicable to the Immunisation Service and review staff activities to ensure responsibilities are met; work collaboratively with the Nursing Immunisation Team to meet service needs, following policy and procedures.
* Coordinate staff rotas and liaise with Schools, Parents and other service users; act as the main point of contact at the locality office for day-to-day operations; supervise health and safety for staff.
* Implement plans with the Operations Manager to deliver the Immunisation Programme; manage recruitment, induction, training and ongoing performance management of staff.
* Establish and maintain effective communication within the team and with line management and clinical services; provide immunisation reports to the Operations Manager and stakeholders.
* Ensure service delivery handles concerns and complaints effectively; participate in relevant meetings (e.g., Flu Group Meetings, Head Teacher meetings) within the locality.
* Coordinate with NHS England for reporting purposes and with Immunisation Project Coordinators to ensure consistent systems and approaches.
* Be part of surge capacity for catch-up campaigns and perform general office housekeeping, deliveries and supplies management; manual handling may be required with mandatory training.
Communication and working relationships
* Promote and develop clear communication within the team; present information and manage issues to ensure smooth administrative service provision.
* Establish formal communication routes for team briefings, performance monitoring, mentoring and problem solving.
* Support the Immunisation Nurse Lead and Operations Manager to ensure all elements of the immunisation programme in your area are properly commissioned; provide immunisation reports to relevant stakeholders.
* Communicate effectively with patients, parents, carers and teachers, recognising needs for alternative methods of communication.
Planning and Organisation
* Develop and adjust staff activities to meet administrative responsibilities; monitor quality and throughput to meet deadlines.
* Contribute to continuous service improvement and participate in groups/projects to achieve efficiencies and change.
* Manage the delivery of the Immunisation Programme at a local level; develop and maintain relationships with stakeholders to ensure seamless delivery.
* Monitor uptake and identify inequalities; work with the Operations Manager to reduce inequalities and ensure high-quality immunisation access.
Staff management
* Sole management of all locality staff, including clinical staff for rota and operational purposes; develop and motivate a team to deliver Immunisation Service provision.
* Line manage the administration team; delegate work and monitor performance to ensure SOPs are met.
* Supervise Administration Coordinators; maintain staff records and oversee recruitment, absence, grievances and disciplinary matters per policy.
Information resources and confidentiality
* Record information about schools, parents and children accurately and timely; maintain confidentiality of information and take precautions when transmitting data.
* Respond to and escalate risks, incidents and concerns; complete incident reports to enable actions and lessons learned.
Financial and physical resources
* Act as authorised signatory for locality timesheets, expenses and mileage claims; manage stationery and petty cash; source and order goods; maintain inventories of office and clinical equipment.
* Ensure proper storage, disposal and management of waste and products in line with policy.
Personal/Professional development and quality
* Participate in training as part of development; take responsibility for own development and performance.
* Maintain quality within the Immunisation Service; monitor performance, relate to risks, and work with other agencies to meet service needs; manage own time and team workload.
Requirements and qualifications
* Essential: substantial experience; effective communicator; ability to manage multiple priorities; good computer literacy; team-working skills; ability to work autonomously and make appropriate decisions; valid UK driving licence.
* Desirable: project management experience or qualification; relevant degree; immunisation programme delivery experience; experience with clinical computer systems.
