The Highways, Transport and Planning (HTP) Directorate is part of the Place Services Department of West Sussex County Council. The work of the Directorate includes a wide range of statutory and other functions relating to highways, transport, travel, the countryside, planning, and development. Working across the directorate this role will touch on all aspects of service delivery helping us to deliver a positive experience for users of our services making sure: The right services and infrastructure are delivered in the right place at the right time The roads, pavements and paths are safe and well-managed Transport choices are provided for all We are striving to improve, making the service the best it can be through the way we do things, the people we work with and the resources we employ. The Opportunity Salary: £14,271 to £14,499 per annum pro rata (Full time equivalent is £26,403 to £26,824 per annum) Contract Type: Permanent Working Pattern: Part Time - 20 hours per week with flexibility on the days/hours Location: Based at County Hall, Chichester with hybrid working - currently 2 days a week in the office but can vary depending on business need. As an Administration Officer, you will provide a customer focused and efficient administrative service, prioritising your daily tasks in accordance with team requirements and service objectives. You will be responsible for delivering a range of tasks including: Organising large scale events and meetings Co-ordinating statutory panels Collating and presenting information in a clear format Preparing reports and agendas Producing accurate meeting minutes and spreadsheets Email inbox management Fulfilling statutory requests Completing complex correspondence and documentation Financial administration Updating websites and council IT systems to support service delivery. What we need from you: To be successful in this role you will need to: Excellent communication skills to deal with customer enquires whether that be face to face, over the phone or via email. Have excellent IT skills and have a good working knowledge of Microsoft Office Software to be able to produce meeting minutes, non-standard correspondence and reports as well as being able to process financial details and figures. Good numeracy skills to work with figures and data to assist in calculations and data collection. Good analytical and problem-solving skills so you can analyse specialist information and draw practical conclusions whilst understanding the relevant policies and procedures related to it. Be adaptable and flexible in your approach to the work and have excellent accuracy and attention to detail due to your strong core administrative and office experience.
