We have an exciting opportunity for an Operations Executive to join our team. Reporting to the Operations Manager and working within an established team of friendly fleet experts, you’ll be assisting with the service and maintenance needs of our growing car & van fleet across our UK network of repairers.


This is an exciting and vital role within the Herd operations team, working alongside the best in the industry. Based at our head office in Weybridge, you’ll work with our truly incredible customers and national fleet suppliers to ensure smooth day-to-day operations for our rental and fleet management vehicles. Previous experience as a service advisor or within a car dealership would be an advantage but is not essential. What is non-negotiable is that you must have a can-do attitude and be able to fit in with our friendly and busy culture.

Job Summary:

The Operations Executive will work within our busy fleet team. The successful candidate will arrange bookings for our blue-chip clients, chase garages and provide updates on our VOR list. Claim Loss of use from our vehicle partners, work on vehicle compliance checks, action reports from our recovery company partners, work alongside and provide support for our technical team. This role requires strong organisational skills, creativity, and the ability to work collaboratively in a fast-paced environment.


Key Responsibilities:

* Making service, maintenance and repair bookings for our customers vehicles
* Gathering regular updates from our suppliers, where we have vehicles off-road. Pushing for faster turnarounds and providing updates for our clients.
* Collating reports on our off-road vehicles and following through to a conclusion
* Maintain and update vehicle compliance lists
* Liaising with external suppliers
* Building strong relationships with our primary vehicle maintenance suppliers
* Claiming loss of use from vehicle manufacturers when our vans are off-road for repairs
* Challenge any delays and warranty rejection issues escalating to the manufacturer as required
* General system and reports and administration
* Providing support to our fleet technical team
* Managing driver diary
* Managing loan vans
* Sending Service and MOT due reports
* Ad hoc administrative tasks


Requirements:

* Fast-thinking, organized with strong attention to detail
* Car dealership experience would be preferred but not essential
* Strong written and verbal communication skills.
* Proficiency in Microsoft Office and good knowledge of Excel and Word
* UK Driving Licence
