We are looking for a Personal Assistant to join our Building Services team in our Head Office in Leavesden/Moorgate.
Working as a Personal Assistant you will directly support and act as the administrative point of contact for Building Services leadership team members to ensure effective leadership support as well as acting as the key contact for IT and archiving requests for the Operating Unit.
What you'll do:
* Provide comprehensive and high quality diary support for the respective Leadership Team members (SMT level). This will include: Being responsible for incoming mail and email, reading, prioritising, responding and escalating as required within appropriate timelines. Co-ordinating, reviewing and maintaining calendars to ensure that all meetings, appointments and tasks are effectively scheduled and prioritised ensuring a clear and easy to read calendar for the LT team member(s) that you support.
* Managing and administering the scheduling of weekly, monthly, quarterly meetings.
* Attending team meetings, taking notes and liaising with your respective LT member to ensure that action /follow up items have been addressed ahead of each meeting and that documentation and information is prepared in advance.
* Draft and prepare correspondence, Powerpoint presentations as required.
* Ensuring preparation of documentation, presentations and agendas etc. for internal and external meetings are actioned in advance to ensure smooth running of meetings.
What you'll bring to the role:
*. Experience as a Personal Assistant/Senior Administrator reporting directly to senior management
* Advanced Microsoft Office, Sharepoint and OneNote skills
* Proven organisational experience
* Exceptional stakeholder skills – must be able to deal with people at all levels
* Excellent communications written and verbal
* Ability to priorities, organise and multi task.
