We are seeking an experienced and motivated Soft FM Workforce Support & Resourcing Manager to lead our newly centralised Soft FM Resourcing Team. This Pivotal role brings together rostering, sickness and well being management, and workforce planning under a single, consistent framework.
Historically, resourcing has varied across sites, leading to duplication, rota gaps and inconsistent attendance management. This role will ensure Optima is used as the single source of truth, sickness is managed fairly and consistently, and workforce decisions are underpinned by accurate data and clear governance.
Working closely with the Workforce & Development Lead, Heads of Facilities and HR colleagues, you will ensure effective deployment of staff across all Soft FM services. You will strengthen link with Learning and Development to address workforce trends and capability gaps.
Main duties of the job
We are now seeking an experienced and motivated Soft FM Workforce Support & Resourcing
Manager to join us at a pivotal time. This role will lead the centralised Soft FM Resourcing
Team, bringing together rostering, sickness and wellbeing management, and workforce
planning under a single, consistent framework.
Resourcing across Soft FM has historically been managed differently across hospitals,
resulting in duplication, rota gaps, and inconsistent handling of sickness and attendance. The
new Resourcing Team will ensure that rostering is delivered through Optima as a single source
of truth, that sickness is managed fairly and consistently, and that workforce decisions are
based on accurate data and clear governance.
The postholder will work closely with the Soft FM Workforce & Development Lead, Heads of
Facilities, and HR colleagues to ensure our workforce is deployed effectively and that all Soft
FM teams have the right people, in the right place, at the right time. They will also support
links with Learning and Development, enabling targeted interventions when workforce gaps
or trends emerge.
This is a key leadership role within the Soft FM workforce structure, responsible for supporting
fair and transparent rostering practices, improving wellbeing and attendance, and embedding
a data-driven approach to workforce planning across the Trust.

1. Experience managing large operational workforces, ideally within a Soft FM or Estates & Facilities context.
2. Experience of rostering and workforce planning using NHS systems such as Optima or equivalent.
3. Experience managing sickness, wellbeing, and attendance in line with HR policy.
4. Proven ability to interpret workforce data and use it to inform planning and decision-making.
5. Experience of leading and developing a team within a complex, multi-site organisation
