Overview
The Learning and Development team are seeking a Learning Management System Manager to support the Trust in delivering the People Strategy and strategic objectives by providing excellent leadership and development. The role requires a technical expert to optimise the Trust Totara-based Learning Management System (LMS), ensure it is utilised effectively, and support SOPs, system updates, training for LMS administrators, guidance to SMEs and teams, course creation, testing, and developing training audiences to support MAST KPIs.
You will join an L&D team that plays a key role in supporting staff.
Main duties
* Manage, maintain and administer the Trust Totara-based LMS to optimise functionality as required by the organisation, supporting the full training cycle including training needs analysis, design & development, delivery and evaluation.
* Act as the LMS expert within the organisation, understanding LMS capabilities and limitations and ensuring activities, processes and training are fit for purpose in collaboration with stakeholders and the L&D team.
* Provide technical and administrative support to the Learning and Development function for digital applications across the LMS.
* Work with the Head of Learning and Development to engage staff and support redesign of systems, processes, documentation and training as part of continuous improvement and customer feedback.
* Liaise with the IT team to stay up to date with system updates/changes and adapt to changing demands and short timescales.
Responsibilities
* Use IT knowledge to manage the LMS (Totara-based) to design/develop content and functionality to meet learning needs.
* Be the main point of contact for LMS queries, respond to the designated inbox, and attend meetings/calls as required.
* Manage the maintenance and upgrade process for the LMS as required.
* Collaborate with stakeholders and lead projects with supervision as required; liaise with external suppliers to fulfil contractual obligations.
* Maintain positive relationships with IT and Information Management colleagues to troubleshoot technical concerns and ensure LMS alignment with other IT/IM systems (including SSO, ESR, KPI dashboards, and cybersecurity).
* Provide guidance to departments to ensure LMS is used effectively, with engaging training developed; provide training to stakeholders (learners, course developers, administrators, managers).
* Develop pragmatic solutions to translate, configure, implement and maintain/review audiences based on staff data fields to meet training requirements identified by stakeholders.
* Review course layout and aesthetics to promote a positive user experience; provide guidance/templates to standardise course design where relevant.
* Support the L&D in delivering LMS user training as required; provide a high-quality, customer-focused LMS support service.
* Provide reports and data analysis from the LMS (e.g., course completion statistics) as required; contribute to updates of training and development policies and procedures across People Team work streams.
* Maintain and develop the LMS/Compass policy in collaboration with L&D leadership; ensure quality control of courses (layout, LMS elements, completion settings, testing e.g. SCORM).
* Maintain an in-depth understanding of Technology Enhanced Learning systems and keep up-to-date skills to enhance service delivery; work in a proactive, professional and collaborative manner; supervise LMS administration day-to-day.
Person Specification
Education & Qualifications
* Essential: Educated to degree level in a relevant subject OR equivalent level of experience; industry-standard training covering Totara-based LMS management functionality or equivalent specialist experience.
* Desirable: Knowledge of administrative procedures, project management or information analysis; IT/technology-based qualifications or professional certifications.
Experience
* Essential: Experience of supporting or managing a Totara-based LMS and related system tasks; experience in a large, complex organisation; developing/implementing LMS processes (e.g., course creation rules); allocating training requirements across a workforce and aligning with complex data sets (audiences); experience of delivering training and developing courses using extensive LMS functionality.
* Desirable: Experience in risk and compliance-focused roles; conducting TNAs; navigating LMS version updates.
Knowledge & Skills
* Essential: Ability to communicate complex information orally and in writing; developed interpersonal skills for stakeholder engagement; ability to develop LMS SOPs and training documentation; problem-solving for sudden technical demands; ability to work with large data sources and present meaningful reports; skills to manage/ administer Totara LMS (certifications, courses, audiences).
* Desirable: Project management skills with ability to meet financial targets.
