Dietetic Administrator

Exciting opportunity for a 12 month fixed term cover of Band 3 Dietetic Administrator. Joining a small friendly administrative team, covering specialist dietetic teams across inpatient and outpatient activities within a busy office with frequent interruptions and changing demands. Providing a strong mixed skill set to ensure efficient and effective running services.
Main duties of the job
* Using PAS to book clinics, process letters and capture ad hoc contacts.
* Dealing with email and telephone queries from patients, families and external providers/agencies.
* Room booking – bookwise across multi sites.
* Attending meetings – may be required to take/produce minutes.
* Supporting clinical staff during the day with tasks.
Responsibilities
* Contact patients directly by telephone or face‑to‑face, book appointments, record personal details.
* Assist in maintaining and supporting departmental and Trust policies, procedures and local guidelines.
* Ensure adequate stationery stocks and other ordering as requested; use resources economically.
* Provide efficient administration of dietetic appointments, create and pull clinics, maintain PAS systems and local databases.
* Amend and cancel appointments as appropriate.
* Attend and participate in meetings, taking minutes when agreed.
* Coordinate cross cover for dietetic colleagues during periods of absence.
* Prioritise workload, organise tasks and manage time to meet deadlines.
* Perform general administrative duties, including photocopying, laminating and post sorting.
* Provide support for new starters or students as required.
* Maintain accurate record‑keeping in computer systems, including PAS, DPR, Systm1 and ICE.
* Participate in departmental audits and Trust surveys.

Person Specification
Education, Qualifications & Training
* 5 GCSEs or equivalent including Maths and English.
* NVQ Business administration L2 or NVQ Customer Service L2, or equivalent experience.
Knowledge & Experience
* IT skills: use of all Microsoft programmes – Word, Excel, PowerPoint.
* Experience of working with and communicating with people.
* Experience working as part of a team.
* Experience working under pressure and to deadlines.
* Experience working in the NHS.
* Able to prioritise conflicting deadlines and escalations.
Skills & Abilities
* Experience with hospital IT systems: PAS, DPR, Systm1, ICE.
* Excellent verbal communication skills, including with people who have communication difficulties.
* Experience taking minutes for meetings at all levels.
* Self‑motivation and reliability, able to work under pressure.
* Ability to respond positively to change.
* Engagement in CPD.
* Interest in nutrition and dietetics.
