Luxury Watch Office Admin / Host role based in Belfast area. Immediate start available, must be based in Belfast area.


Job Purpose

Our Office Admin / Host ensures the proper flow of office procedures and supports the business by carrying out all administrative office duties. This individual is the first point of contact at our headquarters in Belfast and responsible for ensuring we deliver an exceptional client experience.


Responsibilities

* Reports to the Managing Director
* Manage and communicate our distribution and collection services with courier partners (UPS/RM/FedEx/DHL, etc.). Update tracking information to clients and ensure packaging and shipment worldwide is efficient
* Records updated daily and reports created
* Communicate with relevant clients / business partners to update and organise repairs, services, shipping, orders and enquiries
* Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
* Manage correspondence by answering emails and sorting mail
* Draft, format, and print relevant documents
* Create agendas and take meeting notes
* Storage and security of all confidential data and ensure GDPR practices are followed
* Inventory and website updates as required; Liaise with brand partners on orders
* Adhere to company policies at all times
* Continually strive for self-improvement and offer forward suggestions to improve efficiency
* Deliver an exceptional customer experience through all channels including email, telephone, social channels and face-to-face
* Ensure quality housekeeping and efficient setup in the office for the team and clients

* Strong Attention to Detail
* Proactive with ability to work without supervision
* Exceptional Communication and Customer Service Skills
* Technical Skills, including Proficiency with Microsoft Office programs
* Strong Prioritisation and Organisation Skills
* Reliable and trustworthy; ability to handle confidential information
* Strong Record Keeping and Presentation Skills
* Energetic and able to work under pressure and to deadlines

Job Types: Full-time, Permanent

Pay: From £28,500.00 per year

Schedule:

* 8 hour shift
* Monday to Friday

Experience:

* Administrative experience: 2 years (required)
