About Our Client

Reporting directly to the Managing Director, you will play a key role in supporting business operations, improving processes and helping maintain the high standards expected within a regulated healthcare environment.

Job Description

My client is a growing and highly specialised medical devices business looking for an experienced and hands-on Operations & Business Support Manager to oversee the smooth day-to-day running of our UK office.The RoleYou will be responsible for managing the company's back-office operations and ensuring compliance with financial, legal and operational requirements, including maintaining ISO 9001:2015 standards.You will also support and supervise a small administrative team while acting as a central point of coordination across the business.Key ResponsibilitiesOperations & Business Support

3. Oversee the day-to-day operational running of the office
4. Develop, review and implement company policies and procedures
5. Support business improvement projects and operational efficiencies
6. Coordinate facilities management, office maintenance and site security
7. Liaise with external suppliers, contractors and service providers

Human Resources

8. Support the full employee lifecycle including recruitment, onboarding and leavers
9. Prepare contracts of employment and employee documentation
10. Provide HR administration and maintain employee records using SAGE HR
11. Support employee relations matters and advise on employment legislation
12. Coordinate training, appraisals and workforce planning
13. Manage employee benefits, pensions and wellbeing administration

Finance & Administration

14. Manage weekly bank payments and invoice processing
15. Liaise with outsourced accountants and payroll providers
16. Support payroll review and pensions administration
17. Maintain company records, asset registers and purchase approvals
18. Assist with budgeting and cost control activities

IT & Systems Coordination

19. Liaise with outsourced IT providers to ensure systems run effectively
20. Coordinate hardware/software purchasing and system upgrades
21. Support telephony, mobile devices and office technology
22. Assist with IT projects and cyber security initiatives

Quality & Compliance

23. Maintain and manage ISO 9001:2015 processes and documentation
24. Coordinate internal audits and external audit preparation
25. Monitor regulatory and legislative changes
26. Support compliance, health & safety and business continuity planning

Team Management

27. Supervise and support two administrative team members
28. Conduct appraisals, coaching and performance reviews
29. Identify training and development needs

The Successful Applicant

We are looking for someone who is:

30. Highly organised and proactive
31. Comfortable managing multiple priorities
32. Confident communicating across all levels of the business
33. Able to work independently and make sound decisions
34. Detail-oriented with strong problem-solving skills
35. Professional, adaptable and hands-on in their approach

Skills & Experience

36. Previous experience in operations, office management, HR or business support
37. Experience working within a regulated or quality-driven environment is advantageous
38. Understanding of HR processes and employment legislation
39. Financial administration experience
40. Strong IT and systems skills
41. Experience supporting ISO 9001 or quality management systems would be beneficial
42. Excellent written and verbal communication skills
