Main duties
Working within the Workplace and Facilities Management (WFM) team, you will support the smooth running of our offices, meeting rooms, and events. As a main point of contact, you will cover reception on a rota basis and handle enquiries in a friendly, professional manner, providing a customer-focused and helpful service to staff and visitors.
You will use strong organisational skills to manage and prioritise your workload effectively, producing accurate documentation and maintaining facilities systems and electronic records in line with policies and procedures. Attention to detail will be key when ensuring information on the intranet and shared files is correct, and when setting up and checking meeting rooms.
After training, you will confidently use online systems to manage meeting room bookings, respond to helpdesk enquiries, issue security passes, and arrange travel and accommodation. You will conduct and record health and safety checks and deliver inductions for new colleagues and visitors.
You will manage event and room booking requests promptly and courteously, preparing furniture, equipment, and refreshments as required. In addition, you will support the development and implementation of internal policies and procedures, identifying opportunities for improvement and greater efficiency.

Person Specification
Education/Qualifications (Essential): Educated to A level standard or equivalent relevant experience.
Experience (Essential): Proven and demonstrated experience of managing, prioritising and completing concurrent administration and practical tasks, keeping to deadlines.
Experience (Essential): Demonstrated experience working in an office facilities environment including maintenance and health and safety.
Skills (Essential): Proven and demonstrated use of online platforms, apps or software to manage administration tasks and for ordering goods or services.
