Job Purpose To support the clinical and administrative teams by efficiently managing incoming correspondence, ensuring documents are accurately scanned, coded, and filed onto patient records in line with practice protocols and NHS information governance standards. Key Responsibilities Receive and open incoming correspondence (letters, reports, hospital discharge summaries, results, etc.). Accurately scan, label, and upload documents to the correct patient records on the clinical system. Apply appropriate Read/SNOMED coding as directed by clinicians and practice policy.
Highlight and direct urgent correspondence to GPs or relevant clinical staff. Maintain confidentiality at all times in accordance with GDPR and NHS guidelines. Ensure scanned documents are legible and indexed correctly for safe patient care. Support the wider administrative team with general office duties when required.
Report any discrepancies, concerns, or delays in correspondence processing to the Practice Manager. Person Specification Essential: Good IT and keyboard skills. Attention to detail and high accuracy. Ability to work to deadlines and manage workload.
Understanding of confidentiality and data protection. Strong communication and teamwork skills. Desirable: Previous experience in a GP surgery or healthcare setting. Familiarity with SystemOne clinical systems.
Knowledge of Read/SNOMED coding.
