✨ About the Role


As a Stock and Import Coordinator, you’ll be at the heart of ensuring a smooth and efficient flow of goods into and across the UK market. Working in alignment with customer agreements and internal business rules, you’ll manage stock levels with precision and oversee import operations to ensure full compliance and operational effectiveness. By coordinating logistics and streamlining processes, you’ll play a key role in supporting service continuity and delivering value to both customers and the business.

This role is part time (26 hours per week), located in Lichfield, or Manchester and has hybrid flexibility.


🎯 Responsibilities

Stock:


🔹 Collaborating closely with Account Managers, Customer Service, EDC teams and customers, this role manages supply-related issues and ensures alignment across stakeholders. Acting as a key liaison between commercial and legal/financial teams, it supports the setup of customer stock agreements in line with company procedures. It also contributes to the EDC’s partnership with the UK-based third-party warehouse through regular meetings and site visits, fostering strong relationships and resolving operational challenges. The role maintains accurate reporting to support stock-related actions and meet UK performance targets on a weekly, monthly, and annual basis.

🔹 Organises / supports the annual stock-take of customer located consignment stocks, participating where necessary.

🔹 Undertakes any stock related/customer supply projects required as the strategic plans of the company evolve.

🔹 Purchasing of products from UK Suppliers – for customers with contracts explicitly stating this.

🔹 Sample Packing / Arrange Collections – Shipments for internal use

🔹 Stock Replenishment for Customers (Bucher)


Import


Works with the Customer Services Team to support import related processes.

🔹 Courier carried shipments customs clearance

🔹 Processing customs clearance information for large shipments sent by contract freight carriers.

🔹 Reviews and authorizes invoices for courier customs clearance services

🔹 Reviews monthly HMRC import data, requesting remedial action where issues found

🔹 Acts as a point of internal contact when delivery issues occur which relate to failures of the import process, taking appropriate action to find solutions.

🔹 Completes UPS & TNT Import Clearances.

🔹 Manages Sales invoice/tracking number/value on import register.

🔹 Manages waybill reference/date.

🔹 Fargo Shipments, clearing of goods. (UK)

🔹 Arrange transportation and document for shipment for Marketing at Fradley and Tech Centre shipments UK & overseas.

🔹 Forward purchase orders from daily report onto the supplier (Crystal report).


Reporting


🔹 Supports with the reporting of the bi-annual submissions for the UK business for the Extended Producer Regulations, and the Waste Packaging Regulations, with the information received from the EDC.


🧠 Qualifications


* Proficient in Microsoft Office, with strong skills in Excel, and working knowledge of Access, Word, and basic PowerPoint.
* Solid understanding of stock control principles and inventory flow across multiple stakeholders.
* Knowledge of UK import regulations, customs clearance procedures, and HMRC reporting requirements.
* Accuracy in managing import documentation, waybills, and courier invoices to ensure timely and compliant delivery.
* Attention to detail in maintaining import registers and regulatory submissions.
