Overview
Legal Support Assistant role at Clyde & Co. Join to apply for this position. The team provides high-quality workflow management and client service, acting as a point of contact for fee earners and managing the completion of tasks with Administrative Assistants and Document Production where appropriate.
Responsibilities
* Client Relationship Management: Manage the production of documents, check returned work for accuracy/formatting, take and make client-related calls, manage interactions to add new prospects, clients and contacts, and stay up to date with client-specific protocols and processes; provide guidance and training as needed.
* Administrative: Open/close files, supervise general filing, produce engagement letters, monitor key dates, support business development (pitches, presentations, tenders, directories), manage diaries and travel arrangements, produce/maintain Excel spreadsheets, act as first point of contact for the team, arrange internal newsletters/briefings, handle copying/printing/couriers/letters/faxes, and process instructions via digital dictation.
* Communication: Maintain relationships with fee earners and clients, manage post and email correspondence, draft responses, liaise with colleagues and Hub Leader, answer for others when needed, take minutes, and coordinate cover for planned absences.
* Financial: Assist with billing tasks, update time allocations and disbursements, handle cheques/bank transfers, support WIP processes, manage APRs/BACs/TTs, and process expenses.
* Processing: Prioritise workloads to meet deadlines, manage data rooms and client information, ensure data is maintained in systems, perform online applications (e.g., Companies House, Land Registry, Searchflow, CRU forms), undertake searches, and ensure compliance with firm-wide/department policies.
* Customer Service: Arrange and attend team meetings, update service users on progress, and offer proactive assistance.
Essential Skills & Experience
* Advanced knowledge of document management/case management systems.
* Excellent communication with a strong customer/service orientation.
* Proven experience managing client-facing tasks with a practical, hands-on approach.
* Investigative, solution-focused mindset with accountability for own work.
* Strong team player with adaptability and a positive can-do attitude.
* Discretion and confidentiality, with ability to redirect information as needed.
* Well organised with high attention to detail in client communications and deliverables.
Technical Skills
* Experience in a legal or professional services environment.
* Aptitude for managing multiple priorities and producing high-quality documents/communications.
* Advanced knowledge of Microsoft Office.
