SUMMARY Supports the Plant Director by scheduling appointments, providing information to callers, takes dictation, and otherwise relieves the Director of clerical work and minor administrative and business detail by performing the following duties. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Answers incoming telephone calls promptly in a polite and pleasant manner at all times. Screens persons requesting to see the Facility Director or Plant Services Supervisor. Schedules appointments, as necessary. Reads and routes incoming mail. Locates and attaches appropriate file to correspondence. Complies invoices for vendors. Organize and send correspondence and other records. Schedules appointments for Maintenance Associates and Technicians through Work Hub. Uses discretion and independent judgment in assisting, complimenting, and facilitating the work of the Director of Facility Services or Plant Services Supervisor. Arranges travel reservations and schedule meetings for the Maintenance Department. Records minutes of staff meetings. Compiles and types statistical reports. Makes copies of correspondence or other printed matter. Prepares outgoing mail and send faxes and emails as appropriate. Maintains office supplies and assists Facilities Services Director and Supervisor with maintaining facility supplies and equipment. Proficient use of computer and office technology. Must interact courteously, tactfully, and politely with managers, co-workers, residents, vendors, or associates to preserve productivity and moral. EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED), Associates Degree in Business or Office Technology coursework is preferred.
