POSITION OVERVIEW
NPS Law is seeking a professional client-focused Legal Administrator to join our busy Residential Conveyancing Department in our main head office in Solihull. This is an excellent opportunity for an enthusiastic individual with strong administrative and customer service skills to develop their career within a supportive legal environment.
This role is pivotal in ensuring our clients receive exceptional service throughout their property transaction journey. While prior knowledge of conveyancing transactions is not required, we are looking for someone who is confident, articulate, and committed to delivering outstanding client care.
KEY RESPONSIBILITIES
Client Communication & Customer Service
* Act as the primary point of contact for client enquiries via telephone, email, and other communication channels
* Handle incoming calls professionally, efficiently directing queries or providing information as appropriate
* Proactively contact clients to provide updates on their matters based on information supplied by the conveyancer
* Maintain regular communication with clients to ensure they are kept informed throughout their transaction
* Demonstrate empathy and understanding when dealing with clients during what can be a stressful process
* Build and maintain positive client relationships through excellent service delivery
Administrative Support
* Prepare accurate quotations for prospective clients
* Create and distribute client care packs
* Perform general administrative duties including scanning, filing, and document management
* Undertake data input tasks with accuracy and attention to detail
* Maintain organized case files in both physical and electronic formats
* Assist conveyancers with administrative tasks to support efficient case progression
* Process incoming and outgoing post
* Manage and prioritize workload effectively to meet deadlines
General Office Support
* Support the wider conveyancing team as required
* Contribute to maintaining a professional and efficient office environment
* Participate in team meetings and training sessions
* Assist with any other reasonable duties as requested by management

Communication Skills
* Excellent telephone manner with clear, confident verbal communication
* Strong written communication skills with good grammar and spelling
* Ability to explain information clearly to clients from diverse backgrounds
* Professional and courteous approach in all client interactions
* Confidence when speaking with clients, solicitors, estate agents, and other third parties
Technical Skills
* Proficient computer skills with strong working knowledge of Microsoft Office (Word, Excel, Outlook)
* Ability to learn and adapt to case management systems and legal software
* Competent with email management and electronic filing systems
* Comfortable with technology and willing to learn new systems

DESIRABLE QUALIFICATIONS & EXPERIENCE
* Previous administration experience in an office environment
* Experience working in a customer-facing role
* Exposure to legal or professional services environment (though not essential)
* Understanding of the importance of compliance and data protection
