Marketing & Events Administrator

Role Purpose

We are seeking a highly organised Marketing & Events Administrator to provide structured administrative support across CRM management, marketing coordination, exhibitions and internal events.

This is a hands-on coordination role focused on organisation, accuracy, scheduling and supplier liaison. The role exists to remove operational and organisational workload from the Ecommerce and Design functions, ensuring marketing and sales activity runs efficiently and professionally.

Key Responsibilities

CRM and HubSpot Administration

* Maintain and update company records within HubSpot
* Manage contact assignments and respond to ownership queries from the sales team
* Maintain CRM hygiene, including removing dissolved companies and resolving duplicate records
* Organise and manage media assets (images and videos) within HubSpot
* Support segmentation and list preparation for marketing campaigns

Marketing Coordination

* Schedule marketing emails, blogs and social media posts (content provided by Design and Ecommerce teams)
* Manage and assign contact lists for campaigns
* Maintain the marketing content calendar and ensure deadlines are met
* Ensure consistency and accuracy across marketing channels

Merchandise and Operational Orders

* Manage recurring merchandise orders, including clothing, stickers and branded items
* Coordinate ad hoc procurement such as exhibition equipment and promotional materials
* Track supplier invoices and monitor delivery schedules

Exhibition and Trade Show Coordination

* Book hotels and travel arrangements
* Register team members for events
* Liaise with event organisers
* Arrange stands, furniture and required equipment
* Complete and maintain compliance documentation, including health and safety forms and contracts
* Track logistics and delivery schedules
* Maintain master exhibition planning documents

Internal Events Coordination

* Organise internal company events such as BBQs and seasonal gatherings
* Manage bookings and liaise with suppliers
* Send reminders and coordinate attendance

Product Photography Coordination (Ad Hoc)

* Coordinate product photography sessions
* Organise digital files and manage asset storage
* Liaise with internal stakeholders regarding photography requirements

Person Specification

* Highly organised and process-driven
* Strong administrative and coordination skills
* Experience working with CRM systems (HubSpot desirable)
* Confident liaising with suppliers and external event organisers
* Strong written communication skills
* Able to work independently and manage multiple deadlines
* Detail-oriented with a proactive approach
