Kenna Recruitment has a brand new exciting opportunity for an experienced Document Controller / Office Manager with Procore experience to join a new fit-out contractor in Central London. This will be a new position where you can set up new processes to improve business functions.
Overview: As a Document Controller, you will ensure project information, drawings, and documentation are managed, communicated, filed, and retrievable via the Electronic Document Management System (EDMS) Procore. You will also provide secretarial services, supporting project administration and management requirements, with a proactive and approachable attitude.
Main responsibilities include:
1. Coordinate document control activities, including technical documents, drawings, and commercial correspondence.
2. Input data into standard registers, ensuring accuracy and currency.
3. Manage and close out Operations and Maintenance Manuals and Handover Documentation.
4. Distribute controlled copies of documents and drawings to relevant staff and subcontractors.
5. Maintain documents and drawings securely and organized in the document control office.
6. Keep project files and control logs up to date.
7. Archive drawings and documents for subcontractors and consultants.
8. Assist Contracts Manager/Project Director as needed.
9. Record RAMS, Permits to Work, and induction records.
10. Order IT equipment and organize inductions for new staff.
11. Update H&S plans, posters, and maintain PPE stock.
12. Compile monthly client reports and dashboards.
13. Prepare site team presentations and innovative ideas.
14. Organize team social events and manage office supplies.
Experience/Knowledge:
* Experience with fit-out contractors.
* Construction office/site experience.
* Procore proficiency.
