To take proactive responsibility of the properties in your charge, co-ordinating between Asset Management, Praxis Facilities Management and the Operational Finance teams to optimise budgeted cash-flow and maximise tenant satisfaction.
The below list of duties is designed to provide a top-down view of your general deliverables and responsibilities. You are, by virtue of your title, responsible for the day-to-day management of your property, in line with the strategy outlined by your Asset Manager.

Main Duties
* To manage a portfolio of assets, acting as the main conduit between Asset Manager, Facility/Centre Manager and Operational Finance teams – always ensuring that your assets maintain a “ready-to-sell” status.
* To oversee, mentor and provide line management to Property Managers ensuring their defined responsibilities and KPI's are delivered.
* To ensure plans including appropriate escalation strategies are in place to collect all charges and make recommendations to the respective Asset Manager.
* Primary responsibility for day-to-day landlord and tenant issues including general enquiries, statutory notices and enforcing lease obligations.
* To coordinate the response to and management of tenant applications having considered any value-add opportunities in conjunction with the AM and in line with the agreed PM KPIs, creating a positive touchpoint.
* Liaise with Asset Managers to prepare periodic reports.
* Support the Asset Managers with leasing activity, viewings and generally ensuring properties are in a presentable state (directing FM staff as necessary).
* Complete annual sustainability surveys for properties and recommend to Asset Managers where improvements can be made.
* Establish and record 'demand-led' tenant requirements for ESG reporting.
* Proactively ensure, with FM input as needed, that the utility metering of properties is technically robust such that consumption of common and demised areas can be accurately recorded.
* Encourage best practice and provide feedback to on-site FM resources to maintain safe, clean and secure environments.
* Coordinate with the relevant FM staff for any Health & Safety or compliance related issues.
* To arrange inspections and tenant meetings in line with the agreed PM KPIs and submit inspection reports.
* Liaise with insurance brokers on claims, renewals and provide supporting documentation where required.
* Work closely with the Property Administration team to ensure that the property database is kept up to date at all times.
* To liaise with the Operational Finance Team and Asset Manager to ensure rent and all other charges are approved and invoiced on time.
* Liaise closely with the Operational finance team and have responsibility for the management of the rent collection and credit control process and setting and co-ordinating strategy for the treatment of any debtors.
* Prepare and manage the service charge budget setting process in line with the agreed PM KPIs.
* Constantly challenge the procurement and value for money of all supplier contracts to ensure service charges are minimised.
* Work with colleagues and all departments in the business to identify opportunities to improve operational efficiency and reduce non-recoverable costs associated with the portfolio.
* Effectively manage invoice approvals in line with the agreed PM KPIs.
* Input and take responsibility for driving completion of the service charge reconciliation process in line with the agreed PM KPIs.
* Supporting junior and Graduate Property Managers as part of their ongoing development.
* 5+ years of Commercial Retail Property Management experience, ideally looking after shopping centre assets.
* Ability to manage multiple tasks on a day-to-day basis whilst ensuring longer term workstreams and KPI-related deadlines are planned for.
* Demonstrate the necessary diligence, perseverance and adherence to RICS standards in managing a portfolio of assets and tenants.
* Be financially literate and conversant with the Business Plans and financial performance of all assets under management.
* Ability to engage with a variety of stakeholders including senior leadership, tenants, Praxis team and suppliers.
* Demonstrate a passion to solve problems and design solutions.
* Ability and willingness to share knowledge and solutions with peers.
* A collaborative, positive approach to working with all teams within Praxis.
