SUMMARY OF POSITION

What's the Gig, you ask?

As a Sales Administrator at Clays, you will play a key supporting role within our Sales team, helping to ensure the smooth coordination of bookings, proposals, and client communications. Working behind the scenes and alongside our Sales Team, you’ll help keep everything organised, accurate, and running efficiently.

You’ll manage key administrative processes including handling reservations inbox enquiries, supporting phone bookings, sending contracts, and assisting with the preparation of client proposals. You’ll also help coordinate internal information across systems and teams, ensuring that bookings and client details are captured correctly and communicated clearly.

We’re looking for someone who is highly organised, detail focused, and eager to learn, someone who is naturally curious about sales, ready to absorb knowledge like a sponge, and keen to grow within a fast-paced hospitality environment.

Working closely with our Sales Managers, Events team, and Operations team, this role offers an exciting opportunity to develop your commercial skills and progress within the sales function as the business continues to grow.

DUTIES & RESPONSIBILITIES

Your role will include but may not be limited to the following responsibilities;

* Sales Administration & Team SupportProvide day-to-day administrative support to the Sales team to ensure smooth and efficient operations
* Assist with the preparation and sending of client proposals and booking contracts
* Issue contracts and supporting documentation to clients, ensuring accuracy and timely follow-up
* Maintain organised and up-to-date records across CRM and booking systems (Salesforce and SevenRooms)
* Support Sales team with administrative tasks relating to group and corporate bookings
* Assist with tracking enquiries, proposals, and booking confirmations
Reservations & Inbox Management

* Manage the reservations inbox, responding to enquiries in a professional and timely manner
* Support with inbound phone bookings and general booking queries
* Process reservations including contra bookings, investor bookings, and internal reservations
* Ensure all booking information is accurately entered and maintained within our reservation systems
* Identify opportunities to upsell bookings generated via website widgets or inbound enquiries
* Escalate enquiries to the relevant Sales team members where appropriate
Booking Coordination & Communication

* Support the coordination of bookings by ensuring key details are accurately captured and shared internally
* Work closely with Sales, Events, and Operations teams to ensure clear communication of booking requirements through to delivery
* Assist in preparing documentation or information required for upcoming bookings and events
* Ensure booking amendments, client requests, and changes are updated promptly within internal systems
Systems & Process Support

* Maintain accurate and up-to-date records across all sales platforms
* Support the sales team in ensuring contracts, deposits, and booking details are processed correctly
* Assist with general administrative tasks to support the wider Sales and Events teams
* Contribute to improving internal processes and maintaining strong organisational standards
Skills, Experience & Attributes

* 1–2 years’ experience in a hospitality, administrative, reservations, events, or sales support role preferred, though we welcome candidates with transferable experience and a strong willingness to learn
* A genuine interest in developing a career in hospitality sales
* Highly organised with strong attention to detail
* Confident written and verbal communication skills
* Ability to manage multiple tasks and priorities in a fast-paced environment
* Comfortable learning and using CRM and booking systems (experience with Salesforce or SevenRooms advantageous but not essential)
* A proactive, positive attitude with a willingness to support the wider team
* Naturally curious and eager to learn from experienced sales professionals and absorb knowledge like a sponge
* Strong time management skills and the ability to meet deadlines
* Collaborative team player with a “can-do” approach
* Passionate about hospitality and delivering exceptional guest experiences
