THE EMPLOYER IS: ARTS CARE The Arts Programme Assistant will provide administrative, practical and logistical support to help deliver Arts Care’s commissioned programmes in health and social care settings and across growing community projects. Working closely with Programme Officers, the post holder will assist with organising workshops, exhibitions, performance showcases and related events, support basic finance and CRM processes, and contribute to project documentation, monitoring and communications. This is an entry level role, with training and supervision provided.


Responsibilities

* Support Programme Officers to plan and coordinate workshops, exhibitions, performance showcases and community events, including schedules, room bookings, travel plans and equipment lists.
* Assist with issuing and tracking artist contracts, agreements, schedules and call sheets, maintain accurate records and contact details in the CRM.
* Help set up and deliver workshops and events, prepare materials and equipment, meet and greet participants, liaise with venue staff and tidy spaces after use.
* Work with Finance to follow agreed business processes for arts projects, enter and update data in the CRM, file receipts and paperwork, and support basic budget tracking.
* Complete routine administration, maintain project folders, calendars and asset logs, ensure manual and electronic records are accurate and up to date.
* Document project activity through notes, basic photography or short video clips where appropriate, collect consents and store media in line with policy.
* Support monitoring and evaluation, gather attendance data, feedback and outcomes, and contribute to funder returns and simple reports.
* Assist with communications, PR and marketing tasks related to arts activities, provide information and images, and help compile short case studies.
* Follow safeguarding, health and safety, equality, and data protection procedures at all times.
* Carry out other reasonable duties to support programme delivery as required.


Skills and Qualifications

Essential Skills

* Attention to detail when handling schedules, records, contracts and data entry.
* Clear communication, written and verbal, with artists, participants, partners and colleagues.
* Practical approach to event and workshop set up, willing to move light equipment and materials safely.
* Competent IT user, email, calendars, word processing, spreadsheets, and willingness to learn a CRM.
* Basic numeracy and comfort working with simple budgets, invoices and receipts under supervision.
* Ability to work as part of a team.
* Commitment to safeguarding, inclusion, confidentiality and respectful conduct in health and community settings.
* Flexibility to attend occasional events outside standard office hours with reasonable notice.

Desirable Skills

* Experience, paid or voluntary, supporting arts workshops, community projects or events.
* Familiarity with CRM or project tracking tools and basic data quality checks.
* Experience preparing simple contracts, schedules and coordinating multiple diaries.
* Basic photography or video capture, and confidence compiling short case studies or activity summaries.
* Understanding of monitoring and evaluation in a charity or community context, for example attendance tracking and feedback collection.
* Experience working in health or social care environments, or awareness of relevant protocols.
* Knowledge of Northern Ireland’s arts and community landscape.
* Full driving licence and access to transport, if required for certain sites.
