Studio Co-ordinator at Leading International Architecture Practice

We are seeking an experienced Studio Co-ordinator to become an integral part of our London team, supporting the smooth running of our operations and contributing to the delivery of large-scale, mixed-use projects worldwide.
About the Role
As Studio Co-ordinator, you will be the backbone of our London office, ensuring efficiency and organisation across all aspects of administration and office management. This is a permanent, full-time position based on-site, offering the opportunity to work in a dynamic, collaborative environment where creativity and professionalism thrive.
Key Responsibilities:
* Manage all incoming calls, emails, and enquiries, ensuring timely and professional responses
* Welcome guests, clients, and consultants, maintaining a positive first impression of the studio
* Oversee daily post distribution and outgoing mail
* Maintain office calendars and team whereabouts
* Provide administrative and HR support to Directors and project teams
* Organise meetings and events, including room bookings, catering, logistics, and presentation materials
* Handle secretarial tasks such as expense management, document editing, and filing
* Coordinate travel arrangements and liaise with suppliers for office needs
* Supervise housekeeping and ensure compliance with studio policies and standards
* Assist with building operations and maintenance
* Support document control and ISO quality assurance processes
* Champion equity, diversity, and inclusion across all workstreams
Skills and Qualities:
* Legally eligible to work in the UK
* Fluent in spoken and written English
* Highly organised, proactive, and able to manage confidential information
* Strong interpersonal skills with the ability to work independently and collaboratively
* Calm under pressure, adaptable, and resilient
* Professional, punctual, and reliable
Experience and Knowledge:
* Previous experience in a similar administrative or office management role
* Degree-level education (or equivalent)
* Proficiency in MS Office (Word, Excel, Outlook, Acrobat)
* Basic knowledge of Adobe InDesign and Photoshop
* Familiarity with Smartsheet and ISO quality management systems is advantageous
