1. Receiving all Visitors, Clients and Partners at Head Office, providing a professional and welcoming service and looking after visitors on arrival and departure.
2. Providing a courteous switchboard service across multiple office numbers, re-directing calls as appropriate and taking accurate messages when required.
3. Maintaining security of Reception areas acting as first line of defence, ensuring adherence to internal security policies, issuing of visitor access cards and new starter cards and escalating concerns or incidents where appropriate.
4. Facilitating corporate meeting room bookings for staff and Partners, including prioritisation of requests, working alongside Post Room and Security teams to ensure correct set ups.
5. Coordinating the booking of visitor parking and electric vehicle charging arrangements and allowing access into Head Office car parks via intercom system.
6. Supporting Employees and Partners across the business in the organisation of large-scale events hosted at Head Office, including Partner Insight Days and Establishment events.
7. Supporting the wider Operations team with adhoc projects and providing administrative support to the Field Management Team as required.
Who we’re looking for:
An experienced Receptionist with strong communication skills and the following:
8. Strong computer skills, ideally SharePoint visitor management systems and Avaya One X Attendant along with intermediate MS Office skills, including inbox, diary management, meeting room booking systems and ideally security systems.
9. Ability to build a good understanding of all areas and responsibilities within the Company, our Administration Centres and other SJP locations.
10. Ability to remain flexible in approach, understanding that each day brings new requests, such as last minute taxi arrangements, printing and scanning, luggage storage etc and ability to remain calm under pressure and deal with challenging situations as they arise.
11. Positive relationship building skills with key internal and external stakeholders and able to recognise the need for patience and sensitivity in certain situations.
