Overview

Bedfordshire Hospitals NHS Foundation Trust provides hospital services to a growing population of around 700,000 people across Bedfordshire and the surrounding areas, on two busy hospital sites in Bedford and Luton. Both sites offer key services such as A&E, Obstetrics-led Maternity and Paediatrics. We are currently seeking a dedicated and proactive Ward Clerk to join our team. This role is vital to the efficient running of the ward and involves a range of clerical duties. The successful candidate will be expected to work independently, using their initiative to manage enquiries and support day-to-day operations. Excellent communication skills are essential, as the post holder will interact with patients, relatives and medical colleagues at all levels. A commitment to maintaining a high standard of service and professionalism is key to meeting the needs of our patients.

The post-holder will play a key role in ensuring the smooth day-to-day running of the ward and will support ward staff in dealing with enquiries. You will also be involved in training new members of staff.


Responsibilities

* To update IT systems to include admissions, discharges, and updating patient details (correct address, GP details, next of kin).
* To ensure that the patient is admitted under the correct Consultant.
* To file admission packs for new patients in accordance with admission pack filing notes.
* To ensure trolleys are ready for ward rounds, and that continuation sheets and labels are available for all in-patients.
* To make or request follow-up appointments for discharged patients.
* To file discharge episodes in accordance with discharge filing notes.
* In the case of deceased patients, ensure correct paperwork is printed for the Bereavement Office and contact GP.
* To continually monitor IT systems throughout the working day for changes in patient status.
* To support Ward staff in dealing with telephone enquiries.
* To sort and distribute mail, re-addressing discharged patients’ mail.
* Report faults or required work and faulty equipment to the facilities help desk and clinical engineering.
* Order non-stock equipment and stationery, keeping minimal stock as next day delivery is available.


Qualifications and requirements

* Strong communication skills, with the ability to interact with patients, relatives and medical colleagues at all levels.
* Ability to work independently, using initiative to manage enquiries and support the team.
* A commitment to delivering a high standard of service.
* Organisation, compassion and the ability to thrive in a busy healthcare environment.
* Willingness to assist with training of new staff.


Additional information

* Travel between hospital sites may be required.
* All new staff will be subject to a probationary period covering the first six months in post.
