Job Description:

This is a remote role suitable for any geographical location of the candidate.

Are you a detail-oriented, results-driven professional who thrives in a fast-paced environment? We’re looking for a Russian-speaking Executive Assistant to support the CEO of our boutique real estate agency, recognised for its high standards and personal approach.

In this part-time role, you’ll manage contacts, schedules, and communications, working closely with the CEO and team to keep operations running smoothly. This is a great opportunity for someone who’s highly organised, proactive, and committed to excellence. The successful candidate will be offered a part-time position and option of working remotely for our London-based company.

Primary Responsibilities

* Provide a high-quality, responsive and professional service assisting the executive and other members of the team
* Manage internal and external correspondence on behalf of senior management, passing on messages or highlighting them for the executive’s attention
* Keep track and remind the executive of important tasks and deadlines
* Manage the executive’s contacts, add them to CRM
* Schedule business and personal appointments, maintain an events calendar, and send reminders
* Help organise trips, book flights, and manage travel itinerary
* Process and keep track of invoices as required in a timely manner
* Handling the initial stages of the recruitment process in the company
* Form productive working relationships with members of the team, assisting with queries, problems and ensuring swift resolution
* May be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials

* Meets and when possible, exceeds, service level agreements (SLAs)

Job Requirements

* Fluency in English and Russian (essential)
* Self-starter qualities with ability to work in a fast-paced environment with minimal supervision in a small entrepreneurial team (essential)
* Strong organisational skills and high level of accuracy
* Being able to manage and prioritise tasks based on the executive schedule and needs
* Professional tact, discretion and trustworthiness working with confidential information
* Flexible, adaptable, and energetic, with a positive, solution-oriented mindset
* Proficiency with Microsoft Office (Outlook, Word, Excel), Google Workspace
* Familiarity with the real estate industry or professional services environment is a plus
* Prior experience in PA position

Schedule:

Part Time, 20 hours / week
