About the role
The Project Support Officer will be responsible for providing essential support to ensure the successful delivery of the South Yorkshire Mayoral Combined Authority Public Transport Delivery Capital Programme. This role involves assisting project teams across all phases of delivery by offering comprehensive technical and administrative support. The officer will ensure that all outputs, outcomes, and benefits are achieved efficiently and effectively. Responsibilities include:
* Project Coordination & Support
o Provide day-to-day administrative and technical support to project teams to facilitate smooth project operations.
o Assist in progressing actions, tracking deliverables, and maintaining project schedules to ensure timely completion of tasks.
o Support the preparation and coordination of project meetings, including scheduling, note taking, and recording actions and decisions.
* Reporting & Data Analysis
o Support the development of project reports and board papers by extracting and analysing project data from multiple sources.
o Liaise with external stakeholders to gather necessary information and ensure accurate reporting.
o Assist in compiling progress updates, performance metrics, and other key documentation to inform decision-making.
o Work with a range of software such as Power BI, Verto (Project Data base) and SharePoint.
* Documentation & Project Management Tools
o Maintain and update key project documents such as work programmes, risk registers, issue logs, and other essential records.
o Regularly review and ensure the accuracy and currency of project data within the project management database, Verto.
* Procurement & Financial Administration
o Support procurement activities by assisting with tendering processes and managing supplier documentation.
o Facilitate financial processes, including raising purchase orders, processing invoices, and recording project costs accurately within the system.
o Monitor budgets and support financial reporting to ensure projects stay within scope and budget.
About you
The ideal candidate will have previous experience working within project led environments and/or in administrative roles supporting project delivery. A good understanding of project management principles, combined with strong organisational skills, will enable them to prioritise tasks effectively, especially when working under pressure.
* Technical Skills
o Strong experience in Microsoft Office Suite (Word, PowerPoint, Excel) for creating professional documentation, reports, and presentations.
o Experience with project management software, especially Verto or similar platforms, is highly desirable.
* Organisational & Time Management Skills
o Excellent organisational abilities with the capacity to prioritise tasks effectively under tight deadlines with the ability to work independently, demonstrating initiative and proactive problem solving.
* Communication & Interpersonal Skills
o Strong written and verbal communication skills, capable of handling sensitive or difficult situations professionally. Ability to liaise confidently with internal teams and external stakeholders, fostering positive working relationships.
* Additional Attributes

o Attention to detail, analytical thinking, and a proactive approach to identifying potential issues or improvements.
