Full Job Description
As we continue to expand, we are seeking a proactive, articulate, and service-driven English & Chinese speaking Operations & Front of House Associate to support the smooth running of our clinic and elevate the experience of every patient who walks through our doors.
Key Responsibilities:
* Welcome and assist patients with onboarding, enquiries, payments, and service guidance
* Provide clear information on treatments and pricing; support light upselling
* Maintain a calm, clean, and professional reception area
* Manage schedules, appointments, and practitioner coordination
* Issue invoices and support corporate billing
* Track daily clinic operations, including stock, patient flow, and conversions
* Handle procurement of medical supplies, office items, and marketing materials
* Liaise with vendors, labs, and delivery partners
* Support SOP updates, handovers, and workflow improvements
* Conduct follow-ups to ensure excellent continuity of care
What You’ll Need to Succeed:
* Excellent verbal communication; comfortable maintaining 15+ minute phone conversations
* High emotional intelligence—empathetic, attentive, and patient-centred
* Professional presence and polished face-to-face service style
* Strong organisational and multitasking skills
* High attention to detail with consistent follow-through
* Quick learner who adapts easily to new systems and processes
* Self-starter who takes initiative and ownership without waiting for instructions
* Resilient and persistent, especially in busy clinic periods
* Creative thinker who brings fresh ideas to improve patient experience and operational efficiency
