We're looking for a Facilities & Office Manager to take ownership of our workplace environment, ensuring everything from building systems to team support runs smoothly in our vibrant architecture studio. This is a pivotal role where you'll combine hands-on facilities management with office operations, creating a safe, efficient, and inspiring workspace for our team.

Elephant & Castle (Fully office based)

Your Role:
As our Facilities & Office Manager, you'll report directly to the Finance Director and take charge of the day-to-day operations of our office, with a strong focus on facilities and workplace management.
Facilities Management
6. Act as the key point of contact for building management, contractors, and suppliers, ensuring issues are resolved quickly and effectively.
7. Oversee all building systems (HVAC, security, IT infrastructure) to maintain functionality and safety.
8. Manage cleaning and maintenance contracts.
9. Serve as the 24-hour emergency contact for facilities and security matters.
Health & Safety
10. Act as Health & Safety lead: maintain policies, review risk assessments, and ensure compliance with regulations.
11. Organise first aid, fire marshal, and health & safety training for staff.
12. Coordinate emergency drills and maintain preparedness across the office.
Office Management
13. Keep the office running day-to-day: supplies, equipment, and vendor relationships.
14. Handle scheduling, meeting coordination, and travel arrangements.
15. Be the welcoming first point of contact for visitors, clients, and vendors.
16. Continually refine office processes to maximise efficiency.
Management of Admin Team
17. Lead and mentor the admin team, creating a positive and proactive culture.
18. Allocate tasks, manage workflow, and support team development through training and reviews.
Human Resources Support
19. Support recruitment, onboarding, and offboarding processes.
20. Maintain employee records and assist with HR policies and compliance.
Key Skills Required:
21. Strong facilities management knowledge and hands-on experience.
22. Health & Safety expertise, including policy management and training.
23. Proven experience managing admin teams.
24. Strong communication and relationship-building abilities.
25. Proficiency in Microsoft Office Suite (HRIS experience desirable).
26. Understanding of ISO auditing principles.
