An award-winning engineering consultancy is looking for a proactive Administrator to provide essential administrative support to their London engineering team. This role is central to ensuring the smooth day-to-day running of the office, working closely with the Executive PA and supporting wider team.
Key Responsibilities:
Provide administrative support to engineers, including diary management and meeting coordination via Outlook
Cover front-of-house duties: managing calls, greeting visitors, and monitoring shared inboxes
Communicate with clients and internal teams via phone, email, and Microsoft Teams
Assist with creating and formatting documents such as reports, proposals, and presentations under tight deadlines
Support the Executive PA with various tasks as needed
Organise travel, process invoices and purchase orders, and manage expenses
Assist with staff inductions, CPD tracking, marketing initiatives, and event planning
Maintain up-to-date CVs for tenders and handle incoming/outgoing post
Carry out printing and general ad hoc administrative tasks
Act as First Aider and Fire Marshal (training provided)Ideal candidate will have:
Previous experience in administration or support role desirable but not essential
Highly organised, ability to prioritise and multitask effectively
A collaborative team player with a proactive, flexible attitude
Discreet and professional, with a strong sense of integrity
Confident communicator with excellent written and verbal skills
Calm under pressure and able to manage expectations
Approachable, detail-oriented, and dependable
