Estates Contracts Manager

The post holder will assist with managing a portfolio of Estate contracts as directed by the Senior Contracts and PFI/LIFT Manager and Contract Managers, to ensure the delivery of service performance against key performance indicators to meet the targets of the Trust and Stakeholders.
To administer and monitor day to day contract management to ensure compliance and contractual needs are met supporting the coordination of cost‑effective purchasing and contractual work plans against finance and procurement policies and procedures.
The post holder will review the portfolio of contracts with the collation of regular reports on the performance of the provider and where required, assist with changes to ensure compliance and effectiveness.
The post holder will support with the management of other contracts as directed by the Senior Contracts and PFI/LIFT Manager and Contract Managers.
Main duties of the job
The post holder will be a key member of the Contracts Team which ensures compliance and assurance for monitoring of the contracts.
To be actively involved in mobilisation of new contracts to ensure smooth delivery of services is achieved for all stakeholders.
To provide cover and attend/chair contract meetings and ensure that appropriate documentation including agenda, minutes and actions from the meeting are taken and distributed to all participants in a timely manner to ensure a robust audit trail.
To support the Hard FM Contracts Manager in monitoring operational service delivery to ensure internal and external quality, contractual and other standards are met, and assist with implementation action to rectify any deficiencies.
To assist with the monitoring of provision of services in line with Key Performance Indicators, reviewing against performance reports / audits and reporting any failures to the Contract Managers.
To assist and be actively involved in the successful operation and management of variations and ensure all the necessary paperwork is completed in order to support monthly invoice payments.
The post holder will assist with analysing invoices and associated supporting financial data monthly and quarterly for the contract and completing the finance trackers to support budget management.

Qualifications
* NVQ 3 in administration or project management experience.
* Advanced Key board skills Able to use and communicate through Microsoft office suite, particularly Word, Excel, Project PowerPoint and Outlook programs.
* NVQ 4 in administration or project management experience.
* Prince2 Practitioner level, Or willing to work towards the required qualifications as a requirement of the role.
Experience
* Experience working with Contractors/service providers with effective negotiation and communication skills with liaison on all levels both internally and externally to the organisation.
* Experience of contract management for multiple contracts.
