Now, we’re looking for a Production Assistant to join our Show Services team—supporting projects from quote to completion with accuracy, efficiency, and attention to detail.

What You’ll Be Doing
Aligned with the Account Manager, the Production Assistant will maintain awareness of Show Services processes and procedures to successfully support clients and assigned projects. You’ll be the operational backbone of the quoting and billing process, ensuring every detail is accurate and deadlines are met.
* Quote & Opportunity Management: Work with the Account Manager to construct, amend, and update quotes, confirm opportunities, and ensure accuracy of documentation.
* Expense Report Review: Evaluate technician expense reports for each show, approving or rejecting items as needed to finalize billing.
* Change Implementation: Carry out requested changes or additions from the Account Manager and communicate updates to relevant internal departments.
* Final Invoicing: Complete final invoicing in tandem with the Account Manager within established timelines.
* Financial Coordination: Partner with the Account Manager and Accounting to ensure deposits, invoicing, credit applications, COIs, and collections are accurate and on time.
* Client & Contract Support: Collaborate with the Account Manager to resolve questions around quoting, contracts, or client-critical situations quickly and effectively.
* Cost & Margin Management: Support project profitability by following established SOPs, processes, and procedures.
* Labour Scheduling: Coordinate with Account Managers and Project Coordinators to provide accurate staffing requirements and schedules. Ensure changes are correctly entered into R2 and communicated appropriately.
* Equipment Logistics: Partner with the Account Manager and Equipment Logistics on add orders, TPLs (Technical Prep Lists), LOLs (Lists of Labour), and equipment substitutions for active quotes.
